Planning Administrator (Maintenance)

Salary £24,000 pa

Full Time 37.5 hours per week,

Rochester, Kent.


As Planning Administrator, you will be responsible for producing and submitting maintenance contract renewals to clients for all maintenance works.

Process both maintenance and remedial purchase orders, ensuring CRM is accurate and updated with any changesin assets and contacts etc.

Works closely with other members of the Planning Team to ensure all maintenance contracts are renewed and all Purchase Orders (PO) are processed in a timely manner.

Main roles and Responsibilities

  • Process purchase orders for maintenance and remedials onto CRM creating relevant job lines
  • Cross reference POs against quotes and query any discrepancies with clients and/or the Planning Manager
  • Liaise with Finance Assistant for correct accounts coding
  • Update maintenance visit planner when maintenance POs have been processed
  • Work closely with Planning Manager regarding last minute POs requesting dates
  • Update reactive works orders list with remedial / installation POs and notify Planning and Workshop Managers
  • Produce maintenance contract renewal quotes ensuring the correct increases are applied, considering changes to assets listed on site
  • Manage the renewal process by regularly producing reports of renewals due
  • Ensure CRM is accurate and updated with correct assets, contacts and renewal dates
  • Ensure customer notes/background folders are updated and save all associated customer documents in the correct files
  • Provide admin support to other members of the Planning Team during periods of high demand/absence

Education/Qualifications/Experience:

Good level of English and Maths, both written and verbal (e.g. GCSE level).

A minimum of 2 years' experience of working in an administrative role within a busy engineering/service environment. Ability to understand and work with technical/engineering data is essential.

Good level of computer literacy and willingness to learn new systems is essential. Confident user in Microsoft Applications.
