Overall Purpose of the Job:

To support the Headmaster in the efficient and effective administration of the school.

To develop good professional relationships with colleagues, parents and children.

To co-ordinate admissions to the school and maintain accurate pupil lists.

To run and administer School uniform shop.


Main Responsibilities:


PA to Headmaster

  • Coordinate the Headmaster's diary and electronic calendar.
  • Provide Headmaster with briefings on future meetings, visits etc.
  • Oversee agenda and minutes for weekly staff meetings.
  • Welcome Headmaster's visitors and arrange refreshments.

School Administration:


  • Maintain an efficient and tidy office to promote a professional image and environment.
  • General welcome/reception duties for people visiting the school.
  • Deal with telephone enquiries and pass on appropriate messages to staff.
  • Deal with incoming and outgoing mail.
  • Coordinate mailouts to parents for school events.
  • All school administration work (parent evening appointments, pupil record files, school photographs etc.).
  • Overview of registers and p.m. registration
  • Annual bookings for school events such as Bonfire Night, Carol Concert
  • Open Days and Speech Day administration in conjunction with Marketing Coordinator.
  • Compilation and distribution of the termly school calendar.
  • Kent Test administration (information to parents, meetings with headmaster).
  • Maintain isams database of information on pupils and parents to assist with overall communication throughout the school and update as necessary.
  • Update staff lists and handbooks annually.
  • Control records, sales, stock of School uniform.
  • Holiday club admission and records.

Personnel Administration:


  • Establish an effective "personnel administration" function to include Safer Recruitment policy, staff recruitment administration and induction procedure etc.
  • Administer online DBS clearance for all staff including appropriate regulatory checks through DFE Sign-In.
  • General recruitment administration and assistance with contracts and recruitment documents
  • Annual recruitment administration for Graduate and Gap Assistants.
  • Update and maintain isams database of staff details.
  • Maintain Single Central Register for all staff.
  • Keep an effective database of information on staff to assist with overall communication and update as necessary.
  • Update Recruitment Policy & Procedures annually

General:


  • Respect the confidentiality of school matters.
  • Undertake relevant training in Child Protection, Fire Marshall and Health & Safety as required.
  • Understand and enact all of the School's policies and procedures.
  • Promote and safeguard the welfare of pupils and staff according the School's Health and Safety, Fire Safety, and Child Protection policies, procedures and guidelines.

Decision Making Responsibilities:


The position holder is required to work independently to plan and organise workload to meet the daily requirements of the job.


Personal Specification (Knowledge, Skills and Attributes)

Essential requirements of the post-holder:

  • Experience in an administration environment.
  • Excellent and accurate literacy, numeracy and computer skills.
  • Proficient in the use of Microsoft Word and other associated programmes.
  • Able to work in an organised and methodical way, paying attention to detail.
  • Able to act on own initiative.
  • Able to plan and prioritise own workload and mange conflicting demands.
  • Able to communicate clearly and effectively both in person and on the telephone.
  • Reliable, flexible and has a proactive attitude to work and working hours.

Desirable requirements of the post-holder:


  • Experience of Isams database
  • Experience in an Independent school Salary and benefits

Salary:
£21,747


Hours:
Monday to Friday term time. Alternate Saturdays from term time. Holiday hours Monday to Friday.

Pension:
The position holder is eligible to be a member of the NPS Group Pension Scheme


Meals:
The position holder is entitled to free school meals when on duty.

Holiday: 5.6 weeks to be taken during school holidays in conjunction with the Admissions Officer to ensure adequate cover.

An additional week of holiday has been included in the above to compensate for the alternate Saturday working during term time._
