K&W Healthcare is a GP network that provides a range of services to a population of over 250,000 in 27 GP practices within Kingsbury, Willesden, and Wembley.

These services include a clinical pharmacy service, phlebotomy, and many other clinical roles that are Integrated Care Services.

We are seeking a highly organised and detail-oriented Allocation Officer/HR Administrator to join our HR team.

As the Allocation Officer, you will be responsible for the efficient deployment of our workforce and the management of shifts and timetables.

Your role will involve coordinating schedules, ensuring communication with stakeholders and employees for changes in shifts and allocations, and optimising resource and site availability to maximize productivity and meet operational targets.

HR administrative roles will revolve around people management, time off management and sick leave management.


Responsibilities:


Allocation Officer

Shift Management:
Create and maintain shift schedules, considering factors such as employee availability, workforce fluctuations, and business requirements. Coordinate shift changes and manage any associated time-off requests or shift swaps.

Implement systems for effective deployment of the workforce to meet operational demands and maintain optimal staffing levels across 27 GP sites across 4 PCNs.


Resource Allocation:
Analyse staffing needs and identify potential bottlenecks or areas requiring additional support and report back to HR Manager.


Timetable Management:
Collaborate with relevant departments and stakeholders to establish and maintain accurate timetables.


Staff Coordination:

Communicate and coordinate with employees to ensure they are informed about their assigned shifts, working locations, and any changes to the schedule.

Address any concerns or conflicts related to shift assignments.

HR Administration


Reporting and Analysis:
Generate reports and analyse data related to workforce allocation, shift patterns, and productivity. Provide insights and recommendations to improve efficiency and optimize resource utilisation.


Continuous Improvement:
Identify process inefficiencies or areas for improvement within the allocation and scheduling processes. Implement innovative solutions and participate in process optimization projects to drive continuous improvement.


Compliance and Regulations:
Stay updated on labour laws, regulations, and company policies related to workforce allocation and shift management. Ensure compliance with relevant guidelines, including break times, rest periods, CPD entitlements and overtime requirements.


Time Off Tracking:
Monitor employee time off and attendance, utilising the HRIS and Identifying opportunities for improvement. Communicate with stakeholders.


Team Collaboration:
Collaborate with the HR Managers and departments to align workforce allocation strategies with overall business objectives. Coordinate cross-functional initiatives and share best practices to enhance operational effectiveness. Providing administrative support on a wide range of HR and company projects


Requirements:

Bachelor's degree in business administration, human resources, or a related field (or equivalent work experience).

Proven experience in workforce management, allocation, or scheduling roles.

Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.

Strong analytical and problem-solving abilities, with keen attention to detail.

Having a clear understanding and practising discretion is crucial for members of the HR team.

Excellent communication and interpersonal skills to effectively coordinate with employees and stakeholders at all levels.

Proficiency in using scheduling software or workforce management systems and HRIS.

Familiarity with labour laws, regulations, and industry best practices related to workforce allocation and shift management.

Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.

Demonstrated the ability to work independently as well as part of a team.
