CTM are looking for someone to join our fantastic staffing team on a fixed term basis, to assist in the staffing of events over the summer season.

The role:_


The role of an event Staffing Coordinator is to manage the process of fulfilling staffing and administrative needs for a variety of events from start to finish.

Reporting to the Staffing Manager, the individual will be allocated event contracts across the season and will be responsible for delivering the casual staffing requirements of their allocated events, as set out by the Project Manager.

The coordinator will be the main point of reference for all information for casual staff, ensuring that they are well prepared to work on site before they arrive at an event.

They will manage multiple tasks simultaneously, whilst ensuring that they are continually communicating with all parties involved.


This position would suit someone who is currently studying an Event Management degree or similar at university, or someone with an interest in events or temporary recruitment.

Core Duties and Responsibilities:_

  • Use a variety of methods to communicate shift vacancies to an internal database of casual staff, to fill the shifts for allocated events.
  • Become familiar with all aspects of their event contracts to inform staff of the necessary details of the event before they arrive, keeping a consistent line of communication open with causal staff throughout.
  • Liaise with Project Managers to determine any specific staffing needs for their events and facilitate any additional requirements.
  • Complete all event related administrative tasks involved with staffing, including; updating accreditation portals for staff wristbands; processing timesheets; raising purchase orders; updating data collection spreadsheets; filling staff booking forms; accommodation booking forms and more.
  • Use external platforms to recruit casual staff.
  • Ensure safeguarding of sensitive information in compliance with GDPR.
  • Book and allocate accommodation for events, finding the most suitable option within a budget.

  • A clear, consistent, and confident communicator with an excellent telephone manner.
  • Detail oriented and have a proactive approach to problem solving.
  • Organised, with excellent timemanagement skills.
  • Able to manage a workload under time constraints, prioritising necessary tasks.
  • A dedicated team player, with an approachable, friendly, and professional attitude.
  • Possess a working knowledge of Microsoft Excel and Outlook.
  • Able to quickly familiarise themselves with in house systems.
  • An interest in the events industry or recruitment.
