A fantastic new job opportunity has arisen for a client services administrator to join a reputable wealth planning company working with the Birmingham team based in their Birmingham City Centre office.

Salary = £25-27,500 per annum (depending of relevant experience)
Hybrid working = 3 days a week in the office

Hours = Mon-Fri 8:30-5:00pm

This role is to join a small office team of 8 where you would work with 2 other client services team members.

You manager is based from another office and will manage you remote.

Duties include:


This role is responsible for providing an efficient administration support to both clients and planners, while participating in achieving team objectives.


  • Create and maintain client records on CRM system
  • Ensuring AML is up to date and recorded on the system
  • Liaise with clients and third parties as necessary to process client requirements
  • Dealing with the New Business process:
  • Pre-populate forms needed to send to clients
  • Send forms out to the client and follow up
  • Check forms on return and chase any outstanding documents or information
  • Maintain Know Your Client and AML due diligence on the CRM system
  • Follow up on missing client documents
  • Send documentation to provider or process online
  • Follow through to completion ensuring the CRM is up to date
  • Prepare annual review valuations
  • Address and answer clients' and intermediaries' administrative queries
  • Process client income requirements under instruction from the Planner
  • Process cash movements to DFMs under instruction from the Planner
  • Undertake any projects or duties requested by the Planners or Principals in a timely and accurate fashion
  • Validate, instruct and check address amendments
  • Assist with answering telephone, general administration, filing and post
  • Scan all relevant client documentation to the system
  • Prepare client review packs for Planner's client meetings
  • Maintain recurring activities for reviews, cash balance queries and drawdown reviews
  • Successfully complete the compulsory Anti-Money Laundering and Information Security training and any other mandatory compliance or regulatory training as required by the business, Group and FCA regulations
Due to the changing nature of the business, you may need to undertake duties supporting other teams where required.

  • Must have proven administration experience from a corporate/professional services background such as financial services, legal, accountancy, consultancy etc
  • Experience from a wealth planning, investments or pensions background would be desirable
  • Must have high attention to detail
  • Confident IT user with working knowledge of Microsoft packages
  • Can use initiative and manage own time and workload
  • Good organisational skills
