We are currently looking for an Operations Coordinator to join the FIS team at Waltham Cross where you will report to the Operations Manager.

The purpose of this role is to assist the Operations Supervisor and the Operations Manager with the day-to-day operational planning of the Division.


Required undertake operational duties within the FIS depot to ensure all tasks are completed safely and compliantly and to promote the success of the division and the wider A&A group.


Core hours of work are between 8am to 5pm Monday to Friday and some flexibility will be required with start and finish times on occasion.

The postholder will be required to satisfy overtime and call out requirements often with little or notice and on occasion stay away from home overnight in the pursuance of Company business.


Your day will look like this:

  • To assist with the day to day running of the technicians/assistants/operations
  • Work and job distribution and planning.
  • Point of contact for all reactive call outs and assigning resource in a timely manner.
  • Ensure all equipment and materials are stored safely and in accordance with regulatory requirements and within designated areas. The postholder is expected to complete any necessary documentation in relation to storage.
  • Maintain up to date and accurate records/inventories of stock materials and equipment.
  • Check tools and equipment on return from jobs and ensure prompt return to storage and/or repair as necessary. The postholder will be expected to liaise with colleagues in relation to repairs and process of repair is arranged correctly.
  • Manage programme of equipment testing and certification (e.g. PAT testing, BA certification etc) and reporting any issues to supervision in a timely manner.
  • Undertake any maintenance and repair activity for which the postholder is qualified and capable of undertaking. The postholder must seek assistance and guidance in relation to repair and maintenance and ensure any such action does not compromise validity of service and equipment.
  • Liaise with external suppliers/contractors regarding repairs and maintenance, endeavouring to gain most costeffective solution.
  • Ensuring all technicians training is up to date and arranging refresher and new training as required.
  • Controlling technicians' security passes for clients as required and point of contact for outside vetting agencies.
  • Policing of technicians and assistants PPE Check sheets/vehicle check sheets/vehicle mileage and fuel usage.
  • Ensuring all job sheets/files are completed correctly and all relevant information is attached so efficient and timely invoicing can take place.
  • Attend weekly meetings with Operations Manager to discuss progress of operations, and any issues relating to resources etc.
  • Liaise closely on a daytoday basis with all project engineers keeping them informed of goods received and proposed manning of projects.
  • Carry out weekly fire checks, Monthly electrical & legionnaires checks and record findings.
  • Completion of all works paperwork and submission in a timely manner to divisional supervision.
  • Liaison with supervision regarding all works and recommending improvements of possible opportunities.

How you can help us with your experience:

  • Proven ability to carry out the key tasks identified above.
  • Working knowledge of all equipment associated with fuel storage, monitoring and dispensing.
  • The ability to work both independently and as part of a team.
  • IT literacy (Word ability to compose/edit relevant reports, Excel ability to edit work schedules, Focal point and aCloud).
  • The nature of the post requires a flexible schedule and the ability to operate away from home for several days if required.
  • Willingness to undertake any additional training to increase capability of the division in supplying a service to customers.
