The Post

Reporting to the Accommodation Operations Manager and based within a cluster group that covers a number of residences, the role holder is responsible for supervising and co-ordinating the day-to-day operations of buildings, surrounding grounds and equipment for the properties within the cluster.

The role holder will be required to oversee and monitor the performance of Accommodation Operation Assistant (AOA) staff; ensuring required standards are achieved and maintained to a high level.

The role holder will be responsible for co-ordinating contractors/property management and ensure that access to buildings by all parties is properly controlled.

They will ensure that safety and legislative tasks are completed, accurately recorded and the information stored according to procedures.


The role holder will be expected to work between clusters if required and will need to liaise with colleagues in all clusters to ensure the efficient use of resources and that service levels are maintained at a high standard.


The role holder will be part of the front line, operational team and will be required to regularly interact and communicate with a diverse range of customers providing excellence in customer service.

In particular, the role holder will contribute positively to the overall student experience by ensuring students are supported, their needs are met and their expectations are surpassed.

The role holder must have experience of supervising, leading, motivating and developing staff, from diverse backgrounds. A proactive approach is essential as is excellent communication, organisational, interpersonal and IT skills.


The business operates 24/7 and is fast paced and demanding requiring you to manage multiple activities and priorities simultaneously at times.


It is a requirement of this role that working hours are flexible to meet the demands of the business including working 5 days over 7 and backshift to ensure regular contact and supervision is provided to night shift and weekend staff.


The Accommodation Operations Supervisor is required to manage and participate in activities relating to student arrival and departure weekends as well as open and applicant days (these can vary depending on semester dates).


There is a requirement to participate in a year round out-of-hours on-call rota with the Accommodation Operations Managers to provide advice, assistance and attend on site if required.

Role holders are required to have a high standard of personal appearance.

Accommodation Services operates 24/7, with a reduced rota in place over Christmas and New Year period.

There is a requirement for the Accommodation Operations Supervisor to support staff over this period therefore there is a requirement to work on University holidays.

Description of Duties

  • Coordinating tasks to actively ensure the safety, security and integrity of the buildings
  • Coordinating inspections of site and ensuring maintenance issues are reported according to procedures
  • Monitoringand managing visitors onsite, ensuring all comply with the University rules and health and safety guidance
  • To liaise daily with the Operational Managers to understand requirements, concerns, faults, complaints and feedback issues
  • To allocate staff and resources as required to fulfil operational and legislative requirements inline with agreed schedules
  • To undertake inspections to check the performance of AOA staff and to ensure that work is completed to the correct standard
  • To identify, participate in and deliver relevant training and development to all AOA staff toensure high operational and safety standards are maintained
  • To maintain electronic and hard copy records for activities within the cluster, e.g., training, handover notes, legislative requirements and policies and procedures
  • To regularly review and maintain stocks of materials, consumables and other relevant items within the cluster and order such items. Reporting concerns where appropriate
  • To liaise with the Operations Managers in relation to matters of student welfare and discipline in accordance with the University's policies and procedures, signposting students to other relevant services where appropriate
  • To liaise with Operations Managers and Residences Assistants in creating an environment and hosting events which will support student success
  • With colleagues in the Housekeeping team, monitor provision of summer stock items, reporting misuse, damage or other concerns
  • To liaise with Property Management, Commercial Services, Recruitment and other intern
