About the Role:

Colne Medical Centre is looking to recruit a proactive and experienced reception supervisor to join their team. The role offered on either a part-time or a full-time basis, to cover 30-37 hours a week.


The post-holder will provide a focal point of communication between patients, doctors and other medical staff, and ensure that the reception team provides an efficient service and that a professional manner is maintained at all times by all reception employees.


Main Duties:

The post holder will be responsible for carrying out general supervisory duties which will include but are not limited to:

  • Acting as a role model to reception staff, supporting, motivating and promoting good staff relations;
  • Supporting the receptionists with any queries or complaints they may receive;
  • Supporting and helping any unhappy patients;
  • Dealing with patients' complaints, trying to resolve them in a timely and professional manner;
  • Ensuring that any complaints that cannot be resolved are escalated to the practice manager;
  • Ensuring that all staff are informed of, and adhere to, practice policies which are held on the intranet;
  • Monitoring staff annual leave;
  • Assisting with and minimising potential problems that may lead to complaints;
  • Supporting staff in difficult patient situations;
  • Dealing with any lowlevel complaints relating to reception or associated issues;
  • Accurately documenting all incidents and outcomes, ensuring that the practice is kept informed;
  • Dealing with general telephone enquiries from patients and the general public;
  • Acting as the primary point of contact in reception for clinicians.

All applicants should:
- have a good standard of education, including maths and English;
- have experience of working in and providing customer service, ideally a receptionist role within primary care, but this is not essential, as training will be provided;
- have experience of receiving and making telephone calls - a professional manner is expected at all times.
- have strong IT skills and be able to use computer based systems. Experience of EMIS would be advantageous but not essential, as training will be provided;
- be organised, have strong communication skills, both verbal and in writing, be able to communicate with internal staff as well as external agencies and patients, and have a strong understanding of confidentiality;
- be able to work effectively within a team as well as being able to work independently, without supervision.

As well as general practice, we offer extended access appointments to enable all of our patients to access medical care at evening and weekends; we work collaboratively with external agencies to provide in home services and social prescribing; we are working to be at the forefront of clinical research and have many more exciting ventures on the horizon.

We work as three collaborative primary care networks (PCNs) which span across Colchester and Tendring:

  • Ambrose Avenue Group Practice, Riverside Medical Centre & Ardleigh Surgery
  • Mersea Island Medical Practice, Tiptree Medical Centre & Rowhedge Medical Centre
  • Walton Medical Centre, Colne Medical Centre & Wivenhoe Medical Centre
There is a wide socio-economic demographic served within this area, which provides an interesting and varied case mix. You will be joining an enthusiastic team of clinicians and administrators. You will be well supported with on-going professional development (training support, CPD and peer support). The role will contribute to the improving quality of care of our patients across the network of practices.
