Purpose of the Role:

To be responsible for supporting, monitoring and improving attendance throughout the school to agreed annual targets, and meeting all statutory and legal requirements.

Key Tasks: 1.

Ensure whole school student attendance is accurate, effectively monitored and analysed, in order to maximise student progress and support student welfare.


  • Have an up-to-date knowledge of attendance legislation and the current relevant legal framework and ensure the school is compliant with any changes or updates.
  • Responsible for the absence communication submitted by parents and ensuring it is shared and recorded in line with Priory Safeguarding expectations.
  • Responsible for the monitoring and follow-up of attendance issues for students educated in off-site provision on work placements or FE colleges and including those who are dual registered.
  • Responsible for first day of absence calls/contact, managing the communication system and ensuring contact with parents whose children absent themselves from school or individual lessons.
  • Complete lesson checks for key students and liaise with House teams to ensure all children are safe and accounted for.
  • Liaise with a wide range of alternative provision providers to ensure the attendance, safety and wellbeing of our students placed with them.
  • Oversee the signing in and out of students as required, ensuing school records are updated accordingly and are compliant with GDPR and Data protection expectations.
  • Ensure late students are accurately registered, keep detailed reports and follow-up as appropriate to improve levels of punctuality. E.g. communicate concerns home or if appropriate, refer to ESBAS for monitoring.
  • Maintain clear records and produce reports detailing attendance statistics and the strategies used to improve them for the Governors, Headteacher, SLT, House teams, ESBAS, County Hall, DfE etc. as required.
  • Produce and distribute a variety of letters related to attendance issues on behalf of the school, ensuring all communication is documented on the student file and shared with key staff in school. For example threshold warning letters, 10 in 10 monitoring.
  • Review and develop strategies and procedures aimed at improving whole school attendance in order to meet or exceed the annual school attendance targets.
  • Monitoring and identifying truancy and patterns of absence and communicate these concerns to parents in a discrete, sensitive, but firm manner.
  • Have up-to-date knowledge of the external support available to assist with attendance issues e.g. LA teams, Key workers, Police, medical professionals, youth support teams etc.
  • To produce paperwork and gather evidence for Penalty Notice Fines and maintain the Penalty Notice spreadsheet.
  • Manage Absence Request Forms and records.
  • Responsible for referring students to outside agencies for support in improving attendance in , ESBAS, Brighton and Hove Children services, Virtual school etc.
  • Work with information from House teams to closely monitor students who follow alternative curriculum plans. Ensure the correct coding is selected for recording purposes. E.g. for college placements, work experience, or medical grounds.
  • Proactive in utilising all school documentation in order to research external factors affecting students attendance e.g. inclusion reports, medical reports, liaising with health professionals.
  • Proactive in arranging meetings with parents / carers where standards of attendance become a concern and keep House teams updated with key information.
  • Complete doorstep checks when families are failing to respond, in order to build positive and supportive relationships which enable development of strategies to improve attendance.
  • Attended key professional meetings alongside house teams, police, social care representatives, medical staff, CAMHS representative to ensure that complex cases are adequately supported.
  • Liaise with House teams and ESBAS to manage & support the process of attendance panels including interviews for students and parents to discuss student attendance and agree ways forward.
  • Be the link between external attendance monitoring services and house teams to ensure everyone working with the child is kept updated, support is targeted and timely and to chase support workers if necessary.
  • Meet with key students whose attendance is of concern, in a bid to support and encourage improved attendance. This may include holding meetings at the family home for hard to reach cases.
  • Close liaison with school Admission officer and House teams to ensure all students on roll are accounted for, including those who are on dual registration at other institutions.
  • Undertake photocopying, filing and general office duties.
  • Aware of and actively contribute towards achieving School Priorities as identified each year in the School Improvement Plan.
