Job description:


  • The Assurance officer role will work within a Centralised Information Hub (IHub) and will support in the increase of DIOs level of Information Maturity. The position will analyse information on repository size and usage within systems such as One Drive, Mailboxes, MS Teams and SharePoint sites to ensure these systems are being used as intended by all stakeholders within DIO.

Person specification:


  • To implement a programme of assurance checks. This will help develop and inform trend analysis to be able to target interventions and support for our stakeholders
  • Perform quarterly checks in the permanent 1 and 2* MS Team sites to assure that information is being processed and stored correctly in line with MoD IM approaches and that the owner terms and conditions are being adhered to
  • Perform Assurance checks to review DIO One Drive holdings provided by MOD Centre, engaging with individuals with the highest holdings to understand why corporate information is not being held in corporate repositories, with a view to moving information as appropriate. Education and support on SharePoint may be required as part of these discussions.
  • Conduct assurance checks within Cross functional corporate repositories (O365 Groups/MS Teams and standalone SPOL), on a sample of sites as part of a planned programme.
  • Record Assurance check findings and store in the iHub assurance Power App that is available to the team. This will provide a centralised database for all assurance findings which will support the identification of IM and RM trends and areas for improvement across the business for the necessary interventions to be put in place.
