  • 36 hours per week, 52 weeks per year (with appropriate annual leave).
  • The working hours will depend on the operation of the school and examination calendars. It will be necessary to work extra hours during busy times and followingGCSE/GCE results time in August until the beginning of the term in September.

Job Purpose


To secure the smooth running of internal and external examinations so that students are able to perform to the best of their abilities and to ensure the prompt dissemination of external exam results.

To support all staff with the internal and external examinations process.


Key Relationships:
Senior Leadership Team/Heads of Department/Heads of Year/Learning Support Department.


Main Duties and Responsibilities

External examinations and tests

  • Coordinate and administer all external examination and test entries.
  • Liaise with Senior Leadership Team, Heads of Department and Heads of Year as appropriate.
  • Receive all examination and test stationery and materials, including examination papers.
  • Ensure the safe and secure storage of all examination and test papers.
  • Where necessary liaise with the Premises Team (setting up exams furniture), Cover Supervisor (room changes, teacher cover) and IT team (examination logins, technical advice).
  • Ensure that the awarding bodies' regulations are followed in all exams and that Heads of Department are aware of regulations for nonexamination assessments.
  • To attend examination board training and Network meetings as necessary.
  • Deal with all correspondence from awarding bodies.
  • To check entries against invoices and authorise as necessary. To query any discrepancies.
  • Arrange for the posting of all external examination papers and test scripts, and controlled assessment samples for moderation.
  • Process postresults service requests.
  • Receive, store and organise the distribution of all certificates.
  • Keep the Examination and Controlled Assessment policies up to date.

Internal examination

  • Liaise with Heads of Department regarding their requirements for internal examinations.
  • Write school examination timetables, including room allocations and invigilation timetables.
  • Organise the distribution and return of examination papers and scripts.
  • Oversee and coordinate the running of all examinations.

Invigilation

  • Be responsible for recruiting, timetabling, training and supervising staff for temporary invigilation duties, at regular intervals during the academic year.
  • Personal safeguarding and safer recruitment training must be up to date to enable the exams officer to facilitate and train other members of staff.

General Administration

  • To support with data analysis, Options and timetabling at different points during the year when this can fit around exams work detailed above.
  • To undertake any other reasonable administrative tasks as requested by the Line Manager.
