DUTIES:
- Ensure a professional atmosphere at reception at all times.
- Greet visitors in a courteous, professional and welcoming manner, to ensure they sign in and are given the appropriate security pass as per our company security policy, ensure they are aware of the visitor safety and security procedure and to notify theperson they are meeting of their arrival.
- Provide a quick, effective and professional service when handling calls to ensure the caller is routed to the appropriate department or individual.
- Take messages when necessary, ensuring all the information is relayed to the member of staff or manager accurately and in a timely manner.
- Manage deliveries and collections efficiently and arrange couriers
- Incoming and outgoing post including using the franking machine and taking post down to the ground floor reception.
- Manage meeting rooms to ensure they are left clean and tidy at all times.
- Ensure they are set up accordingly and stock is replenished when required.
- Ensure the coffee machine in the boardroom is well stocked, maintained and cleaned on a regular basis.
- Open and close the folding wall in the boardroom and able to move two tables on wheels in and out of the storage cupboard to form part of a large boardroom table.
- Order lunches for meeting rooms and put a system/process in place to ensure that no duplicate lunches are ordered. Make travel arrangements and to produce travel itineraries, as well as organise internal and external meetings including conference facilitieswhen required.
- Keep the main kitchen area clean and tidy and well stocked at all times including the coffee machine and manage milk and fruit orders.
- Maintain stationery and other office stocks, and to keep the print room tidy.
- Office management support, including liaising with the Landlord and HS&E on office matters.
- Maintain electronic and paper filing systems.
Experience, knowledge and skills required
- Experience in working within in an office environment or customer service environment
- Experience in managing and redirecting phone calls
- Good experience in using MS Office package
- Strong communication and customer service skills along with excellent attention to detail skills
