Job Description:


SUMMARY:
The Project Administrator will provide general administrative support to an internal team of Project Coordinators and Managers.

The day to day work can vary widely and can include:

administering HC tools and tracking their progress, scheduling, tracking and reporting, setting up meetings, maintaining project documents, organizing printing, liaising with supplier and associates, supporting events and arranging travel.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide quality support to ensure effective and efficient delivery of projects under the direction of a Project Coordinator/Manager, which could include managing and completing engagement/project tasks as assigned.
  • Understanding the administration process of all HC products and tools and support in delivery for clients
  • Schedule client meetings.
  • Tracking progress of tasks associated to project plan and reporting to stakeholders and clients.
  • Maintain project documents including participant prework, workshop materials, reporting templates etc., and organise printing to meet project deadlines. Ensure project documents are complete, current and appropriately stored.
  • Client service support with supplier and associates.
  • Perform event planning as requested by internal personnel and project teams.
  • Arrange travel for client team.
  • Work closely with the project team to meet changing needs and requirements.
  • Respond to daytoday operational aspects of projects.
  • Provide administrative support for surveys, assessments, projects and deliverables.
  • Available to work Monday through Friday during normal office hours (for US only).

SKILLS NECESSARY TO SUCCEED:

  • Good interpersonal skills the Project Administrator will be required to build relationships with various parties including project team, Partners, external vendor (eg Printers).
  • Flexible with a 'can do' attitude, will go the 'extra step' to meet client needs.
  • A multitasker who can work under pressure in a fast paced environment.
  • Strong organisational, planning and time management skills to help meet tight deadlines.
  • Numerate ideally understand project finance (e.g. billing, cost management) but must have a basic good level of numeracy.
  • Proofreading skills with great attention to detail.
  • Strong knowledge of Microsoft Word, Excel and PowerPoint.
  • Capable of working independently as well as part of a team.

EXPERIENCE:

  • Degree qualification preferred or 1 year experience in a similar role.
  • Previous experience of working in a Corporate environment preferred.
