Key Responsibilities

Support Services

  • Log and manage the workload for planned and reactive calls using the computeraided facilities management (CAFM) system.
  • Daily management and coordination of works through the CAFM system.
  • Champion the requirement within the team to ensure the system is used correctly and records of work carried out are recorded on the CAFM system.
  • Manage some aspects of service including the management of subcontracted services relating to areas of work and the planning of specific jobs.
  • Maintain excellent working relationships with clients, suppliers, and subcontractors.
  • Ensure all works are completed and invoiced by subcontractors in line with set KPIs.
  • Ownership and support of AES levers creation and completion reports to support Maintenance and Cost KPIs.
Finance

  • Liaise with site teams and finance department for creation and issuing of purchase orders and accurate processing of supplier invoices.
  • Assist with Client billing through the Instruction to Work process ensuring timely invoicing from suppliers and to the Client.
  • Prepare cost/spend reports for Contracts Manger and Client Governance team
  • Provide administrative and financial support to the Project Management department. Which will include assisting in tender returns, organise meetings and control of documents.
General Administration

  • Attendance at Client meetings relating to service as required.
  • Record minutes at Monthly Managment meeting and monthly finance meeting.
  • Assist in the coordination of weekend and holiday shutdowns with Site Leads and Supervisors.
  • Ensure Company updates are communicated to all internal teams.
  • Organise and attend offsite meetings as required.
  • Attend marketing and conference events when required.
  • Administration of onsite training and competency matrix.
  • Act as a liaison to the Training and Organisational Development Manager for organising and booking training for all teams.
  • Assist in the onboarding of new staff
  • Methodical and analytical approach to work required.
  • Attention to detail in terms of service is essential.
  • Any other general administrative tasks
Qualifications, role specific knowledge and skills

  • Microsoft packages, specifically: Outlook, excel and word

Desirable:

  • Knowledge of finance packages
  • Knowledge of Concept
