An opportunity to join our team as an Apprentice

  • An excellent opportunity to start a career, complete an apprenticeship and progress within an independent law practice. General duties may include making and receiving telephone calls, preparing precise attendance notes, and filing, etc.

Future Prospects

  • Possible full time position at the end, with a starting salary of £19,000. Other positions are unknown at this time but will be discussed close to the ending of the apprenticeship
  • Apprentice will get key development working with an _Investors in People_ silver accredited firm, so are constantly learning and developing as we look after progress.

Your role

The role will include many of the following:

  • Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases;
  • Maintaining office systems with data input; primarily updating and maintaining client ledgers.
  • Using content management systems to maintain internal databases;
  • Attending meetings, taking robust minutes and keeping notes;
  • Managing and maintaining costs associated with client and office matters, as well as invoicing;
  • Liaising with staff in other departments and with external contacts;
  • Maintaining stationery equipment. Notifying Practice Manager of depleting supplies and additional resources needed to perform duties;
  • Undertaking administrative tasks such as ordering equipment / stationery / office supplies, and reporting and rectifying faults and enquiries;
  • Organising and storing paperwork, documents and computerbased information;
  • Creating and maintaining operational records and files, both paperbased and electronic;
  • Photocopying and printing various documents on behalf of colleagues;
  • Filing legal, administrative and financial documents in date order and correctly;
  • Scanning documents to various computerised systems;
  • Petty cash management
  • Maintain an organised office environment;
  • Opening and closing files for fee earners and management;
  • Assisting fee earners with file closures i.e. file order and preparation of file closure sheet;
  • Ensure all files are regularly maintained and are in accordance with our policies on file maintenance;
  • Supporting other administrative staff to meet the needs of the service and maintaining deadlines;
  • Cross working with colleagues in different areas of the business;
  • Ensuring the office environment is free from hazards and identifying potential issues;
  • Ensure the office environment is clean and tidy;
  • Any other related administrative duties as defined by the Senior Partner, Practice Manager.

Desired skills
-
4-9 grades English and maths GCSE's:

  • Confident with excellent communication skills.
  • Ability to multitask and manage reception in conjunction with other administration duties
  • Good attention to detail
  • Good working knowledge of ICT packages including Word, Excel and Outlook.
  • Ability to demonstrate or gain a clear understanding of the firm's inhouse systems where training will be given
  • Excellent presentation, organisation and timekeeping skills
  • Awareness of confidentiality and safeguarding
  • The ability to use own initiative, be able to work individually as well as part of a team
  • Must be wellpresented with a clear, pleasant telephone manner
  • Good organisational skills
  • Good client care skills
