ROLE SUMMARY
KEY RESPONSIBILITIES
- Office Management:
- Maintain the smooth running of the office ensuring that all equipment is stocked, purchasing new equipment, ensuring the needs of staff are maintained etc.
- Acting as the office's Social Secretary, planning staff events and activities.
- Being the main point of contact for the serviced office provider, ensuring that all issues are resolved quickly.
- Booking travel, accommodation and venues for staff for site visits and client meetings.
- Onboarding new hires ensuring they are set up in the office efficiently, provided with equipment etc.
- Assisting the Finance Director with simple finance tasks e.g. sales invoice processing, asset management etc.
- Assisting the Marketing Manager with simple marketing tasks e.g. maintaining contact databases.
- Personal Assistant:
- Managing the diaries of the C-Suite Directors, setting up meetings, communicating and managing changes etc.
- Responding to queries and managing C-Suite inboxes.
- Preparation of documents for use by C-Suite and the Board of Directors.
- Ensuring that as much of the C-Suite Directors' time is spent as efficiently as possible by managing their working day, picking up basic tasks, processing expenses etc.
- Making travel arrangements for both personal and business trips undertaken by the C-Suite Directors.
REQUIRED SKILLS
- Previous experience in either office management or as a personal assistant preferred but not essential.
- A personable character with an outgoing demeanour and a positive attitude.
- Someone who shows initiative and anticipates the needs of staff and the company.
- An active interest and enthusiasm about the success and wellbeing of the company.
