SCOPE OF THE ROLE


We are looking for a Group Coordinator who shares a passion for excellence and who infuses enthusiasm into everything they do.

This position has the opportunity to shape guest and group experience by providing exceptional knowledge and service in support of the Meeting and Events Sales team.


Key Duties and Responsibilities

  • Personal contact with groups
  • Preparing group guest lists prior to arrival
  • Giving out accurate information
  • Verify that billing for each group is set up properly and preparation of the final group master bill.
  • Attend weekly sales meeting
  • Liaison between Group Sales and Reservations, Front Desk
  • Providing excellent customer service to all guests while using proper hotel verbiage, ensuring to adhere to hotel standards
  • Accurately inputting and organizing reservation information via rooming lists, internet, travel agency requests, sales department, and reception with appropriate follow up
  • Processing rooming lists accurately as well as all changes and cancellations for group reservations
  • Input and access data in Delphi and Reservation system.
  • Maintaining accurate logs of special requests and ensuring that requests are blocked in PMS or front office system
  • Ensuring that all reservations transferred to PMS or front office system are accurate
  • Oversee accuracy of room blocks and reservations.
  • Revise room blocks to maintain the required number of available rooms and keep organized files of all groups Understanding the selling strategy for the hotel by knowing the status of room inventory and following procedures
  • Controlling and blocking rooms as well as preblocks for special groups
  • Understanding hotel facilities and giving clear directions to the hotel for inquiring guest
  • Identify guest reservation needs
  • Determine appropriate room types per contracts, and verify availability of room type and rate.
  • Explain guarantee, special rate, and cancellation policies to callers.
  • Accommodate and document special requests.
  • Follow sales techniques to maximize revenue.
  • Communicate information regarding designated VIP reservations
  • Respond to any challenges found for accommodating rooming requests by communicating with appropriate individual or department.
  • Setup proper billing accounts according to Accounting policies.
  • Reports to include but not limited to; Daily Weekly Distribution reports, Group Resumes, VIP Reports

TO BE ELIGIBLE TO APPLY YOU WILL ALSO NEED:

  • Experience of working in Sales, Reservations or Operations in a 4/5* hotel environment
  • Ability to quickly build excellent working relationships with colleagues both internally and externally, with a flexible approach to work
