MPA Armagh are work with the Southern Health and social trust to help recruit a band 3 team secretary in the Armagh area.


JOB SUMMARY


The post holder will be required to provide an efficient and effective administrative support service to the Team Leader and other staff within the Looked After Children Service.


KEY DUTIES / RESPONSIBILITIES

  • Liaise with Team Managers, Administration and members of the Public etc in matters pertaining to Social Services.
  • Undertake routine administrative duties, including filing, making appointments, maintaining diaries, distributing incoming mail and personally dealing with routine items, receiving telephone calls and taking action in accordance with established regulations and procedures. Distribution of circulars and leaflets as required.
  • Attend meetings at the request of the Team Manager, taking minutes, typing and distribution, for example, Child Protection Case Conferences, Looked After Children Reviews, Case Planning Meetings, Strategy Meetings etc.
  • Compiling routine and non-routine letters for signature.
  • Typing/Word Processing correspondence, reports and agendas.
  • To maintain computerised records as appropriate.
  • To record and prepare statistics, as required by the Trust.
  • To prepare files for opening and closure
  • To keep supplies of stationery and order when necessary.
  • Processing forms for conferences and courses.
  • Provide switchboard cover as and when required.
  • Participate in the agreed system of staff appraisal and personal development within the Trust.
  • To contribute to the maintenance and development of office policies, procedures, systems and practices.
  • Liaise with all disciplines of staff within the Trust as appropriate.
  • Undertake any other duties that may be assigned from time to time within the framework of the post.

GENERAL REQUIREMENTS

The post holder will be required to:

- standards of attendance, appearance and behaviour


  • Contribute to ensuring the highest standards of environmental cleanliness within your designated area of work.
  • Co-operate fully with regard to Trust policies and procedures relating to infection prevention and control.

Qualifications / Experience Required (_
as per Personnel Specification_)

1. 4 GCSEs at Grades A-C including English Language or equivalent / higher qualification and 1 years' experience in a clerical / administrative role


Or
2 years' experience in a clerical / administrative role


  • Experience in the use of Microsoft Office products including Word and Excel or equivalent

This role is initially 2-3 months maybe reviewed after.

30 hours per week
Monday, Tuesday, Wednesday & Thursday

9.00 am pm


Job Types:
Part-time, Temporary contract

Contract length: 2-3 months


Salary:
£11.11 per hour

Expected hours: 30 per week
