The Role - Facilities Manager


To act as the single point of contact for nominated 3 schools regarding Pinnacle's service delivery taking ownership of all issues and liaising with other Pinnacle specialists to provide timely responses and solutions.


Key Responsibilities/Duties

  • Provide direct line management and leadership to the Site teams and cleaners at nominated 3 schools and to grounds manager and operatives
  • Ensure safe systems of work are implemented at all times
  • Management of rota's, nonattendance, return to work interviews and disciplinary procedure of direct line employees
  • Frequent recorded monitoring/audit of sites to review standards and performance
  • Develop training documentation and workshops and ensure all staff receive appropriate training and development including a documented annual review
  • Ensure Risk Assessments / Method Statements are in place for all Pinnacle / Sub Contractor activities in schools for which you are responsible
  • Ensure most appropriate equipment and techniques are being used and advise on new techniques or equipment that may increase productivity or performance.
  • Produce business cases for Contract Manager on any capital purchase or service delivery proposals.
  • Meet with the direct line reports and Grounds teams on a weekly basis
  • Meet with Head Teachers at least fortnightly
  • Attend all school FM Meetings ensuring actions are closed within agreed timescales.
  • Monitor and manage agreed actions across your nominated schools
  • Manager the small works process at your nominated schools
  • Support Hard FM manager in management of variations on your nominated sites including liaising with the school regarding access and timings,inductions, permits and monitoring standards
  • Issue relevant permits, where competent to do so
  • Ensure that performance issues are managed in a prompt and effective manner.
  • Ensure that staff are given recognition where deserved
  • Ensure service delivery is in accordance with the contract and budgets
  • Manage all HR issues within your teams in accordance with corporate policies and consultation with your line manager, local HR contact and central HR.
  • Deliver any required mandatory training for new starters
  • Ensure all appropriate DBS clearance and any relevant training is fulfilled in accordance with role requirements
  • Develop productive working relationships with colleagues, client, schools and external parties e.g. EHO / Auditors.
  • Establish and the ensure health and safety requirements / plans are documented, maintained and adhered to
  • Work with others e.g. compliance manager to improve customer service via continuous improvement plans
  • Support the community use element of service provision
  • Work closely with colleagues, particularly second Facilities Manager, the Catering manager and Hard FM Manager to ensure a coordinated service approach
  • Collaborate and cooperate with work colleagues, school representatives and users of the school's facilities to deliver a customer focused service.
  • Contribute to the goals and aims of the school.
  • Input into design meetings and the bid team on soft services delivery issues to any forthcoming projects, including cleaning techniques and building finishes, as directed by the Contract Manager
  • Action any additional duties required by the Contract Manager including supporting other members of the team
  • Cover Second Facilities Manager during sickness and holiday
  • Deputize for Contract Manager as directed, during sickness and holiday
  • Undertake any training necessary for the role
**Skills

  • Previous experience of Facilities Management (PFI would be an advantage)
  • IOSH /NEBOSH or similar health and safety qualification.
  • BICs of something simular
  • Knowledge of H&S, Environmental Legislation and Practice relating to FM
  • Organisational and time management Skills
  • Used and understand CAFM Asset Management packages.
