As a pivotal member of the Business Support Services team within the Commercial Department, the Company Secretarial Administrator will play a crucial role as the primary point of contact for Company Secretarial services across the firm.

This role, operating at the supervisor level, requires seamless collaboration with client directors and managers to deliver an efficient and accurate Company Secretarial service.

The main responsibilities for the Secretarial Administrator role are:

  • Maintain precise client statutory records (all companies and LLPs) using the Diligent database.
  • Monitor and communicate all company filing requirements and deadlines effectively to managers.
  • Prepare and file dormant accounts at Companies House.
  • Oversee the annual filing of charity accounts.
  • Facilitate the incorporation of new companies.
  • Administer share transfers, changes of registered office, changes of accounting dates, striking off companies, and handling filing fees.
  • Manage paperwork associated with dividends.
  • Prepare and file annual confirmation statements, ensuring timely completion within statutory timescales.
  • Handle correspondence with Companies House and keep relevant managers or directors informed of any changes.
  • Execute simple amendments to Articles of Association and share capital reductions.
  • Collaborate with solicitors for more complex transactions.
  • Undertake various adhoc administrative duties for the Commercial Department.

The Successful Applicant:


  • A minimum of two year's experience in Company Secretarial administration, with a preference for applicants holding an Institute ICSA qualification.
  • Ideally, proficiency in using the Diligent software package, though experience with other company secretarial software will be considered.
  • Strong organisation and prioritisation skills.
  • Keen attention to detail.
  • Clear and effective spoken and written communication skills.
  • A commitment to ongoing personal development.
