Facilities Assistant
The Facilities Assistant supports the Facilities Manager with the day-to-day maintenance of sites in the Aerial Group. The role is split between front of house reception work, light maintenance, procurement and administrative duties.


You may currently be working within a reception role, or perhaps you'll be working in a wider operations position - what's important for this role is a good level of professionalism coupled with the ability to work with competing priorities.

You'll get involved in

:


  • Acting as the 'Face of Aerial Direct', and main point of contact to the business and it's employees and visitors.
  • Manage the Reception desk, front of house and common areas
  • Being a strong support to the Facilities Manager and helping to manage Facilities in their absence
  • Sorting incoming and outgoing post
  • Welcome guests, checking them inout, issuing access passes and offering refreshments
  • Manage the purchasing and procurement of office stationery, merchandise and consumables with a focus on cost saving, quality, and environmental impact and manage stock levels
  • Support with managing and liaising with contractors, and organising callouts as necessary.
  • Manage existing supplier relationships, identifying potential cost savings, monitoring SLAs and raising complaints as necessary
  • Undertake scheduled checks of onsite first aid and fire safety equipment, including weekly fire alarm tests and reporting issues as applicable
  • Manage Aerial Direct's Facilities intranet page
  • Manage the access pass system, issuing cards and deleting as applicable
  • Pulling daily checkin reports and liaising with HR and Dept managers weekly
  • Undertake periodic checks of the legislative docs that are up to date on our intranet
  • Reporting on contractor callouts, reactive maintenance expenses, purchasing expenditures, energy usage
  • Manage legislative training, working alongside the L&D partners.
  • Manage the meeting rooms and bookings.
  • Support Aerial Direct's Social Committee, it's intranet page and social events
  • Act as a support in H&S matters.
  • Act as a First Aider and Fire Warden should the matters arise.
  • Support the Facilities Dept and other Operational activities to ensure its ongoing maintenance adhoc

Ideally, you'll have experience of

:


  • Working on a busy reception desk
  • Ability to work accurately under pressure & cope with planned and unplanned challenges
  • Ability to build effective relationships
  • Experience in operational administration
  • Experience in facetoface customer service
  • High professional standard and always seeking to deliver excellence
  • Strong team player with a "roll up your sleeves" attitude
  • Able to work in a fastpaced environment

  • Qualification as a First Aider and Fire Warden
