You will work within the finance and commercial team, which sits within the wider people & business support directorate. The role is part of a small finance, commercial and facilities function that assumes a broad range of responsibilities.


You will have the opportunity to work with and support colleagues across the organisation at and contribute to the continued development of the team.

Purpose of the role


You will provide flexible, customer focussed administrative support across the finance, commercial and facilities function and wider people and business support directorate.

You will undertake a wide range of responsibilities to support the provision of an effective and efficient service for both internal and external stakeholders.


We have two business support officers within the finance, commercial and facilities team with duties and responsibilities which are interchangeable, each role will however include a focus on either finance, commercial or facilities.

What you will do

  • Prepare written responses to internal/external enquiries in a timely way, ensuring they are clear, accurate and tailored to the needs of their audience.
  • Work with colleagues across the finance, commercial and facilities function to provide a consistent and quality service provision which includes liaising with multiple stakeholders and colleagues.
  • Update supplier records in our Finance and Commercial system
  • Enable; reconciling financial accounts; updating contract records of our commercial partners.
  • Processing incoming and outgoing post.
  • Undertake a number of facilities tasks, relating to the health and safety and general wellbeing of staff working in the office.
  • Work flexibly to accommodate peak periods within the team and adapt to changing demands in service delivery to ensure an effective and efficient service is provided to the wider organisation.
  • Provide administrative support across the finance, commercial and facilities function.
  • Liaise with stakeholders and colleagues; share information and support and participate in working groups and meetings.
  • Support conferences, meetings or training events including bookings, arranging travel and accommodation, and taking on a first point of contact or facilitating role, as required.
Your skills, knowledge and experience

  • Previous experience of working in a similar administrative role would be desirable.
  • Ability to work using your own initiative, investigate issues and be proactive in seeking solutions.
  • Welldeveloped interpersonal skills, with the ability to engage with a wide range of stakeholders.
  • Ability to manage a varied workload effectively and to work to agreed deadlines.
  • Good team player able to work with others to achieve a shared goal.
  • Willingness to work flexibly across the directorate as and when required.
  • Good written and verbal communication skills.
  • Excellent attention to detail.
  • Ability to manage sensitive and confidential information
  • Competence in MS Office software
  • Word, Excel, PowerPoint.

Details

  • Job type: Permanent.
  • Salary: £24,687 prorata per year, rising to £25,775 prorata per year after successful completion of a 6month probationary period. Pro rata to 3 days.
  • Location: Sheffield/hybrid remote.
