Description

We are looking for an experienced Sales & Events Coordinator to work directly with the Sales & Events Manager who is used to handling the booking process from sales enquiry, through negotiation and contracting, and to planning and executing the final event.


You will work closely with the Marketing team to promote the Event Northumbria brand both locally and nationally, network with other venues and bookers within the city, and develop great working relationships with our existing and future clients ensuring their loyal repeat custom.

This role allows for innovation and would be ideal for someone looking to make the position their own.

An opportunity to help lead our sales & events business from the front, whilst being supported by the Northumbria team.


You should be passionate about achieving a consistently exceptional customer experience, self-motivated and able to drive the marketing and sales for this area of our commercial operation and confident in working with a diverse range of clients, including students.


You will be asked to innovate and be involved in designing creative event solutions for client's, students and for our annual Freshers events.

Crucially you should want to help others, support the generation of income for the Students Union, and want to build a thriving events business within this city centre venue.


Main Duties & Responsibilities

Generating income

  • To drive and manage all advertising sales to the student market within the Students' Union ensuring that agreed targets are delivered throughout the year.
  • To maximise advertising income through Freshers Activities such as the sales of Freshers' Fair stalls, direct mail shots, advertising in publications and all forms of digital media.
  • Coordinate events admin by responding to brochure requests, sending out confirmation documents, ordering of external hires such as linen and furniture and update key documents such as menus.
  • Manage and maintain internal room bookings.
  • Assist the Events Manager in event set up and coordination.
  • Provide holiday/sickness cover for Events Manager.
  • To maximise and exceed targets through building partnerships with clients and developing advertising and sponsorship packages to meet clients' requirements and needs.
  • To drive annual sales income targets within for all advertising to include, annual campaigns, publication advertising, contracts, sponsorships, social and digital advertising, events, stalls, and other promotional opportunities.
  • To find new business opportunities by meeting business, cold calling and producing mailshots that will increase advertising sales.
  • To continually source new and innovative commercial opportunities to increase revenue for the Students' Union.
  • To liaise with institutions in the North East to maximise income locally.

Customer Care

  • Manage and maintain excellent working relationships with all key advertising contracts such Seed, The student Marketing Company, Redbus, Popcorn Media, Campus Groups etc.
  • Manage and maintain excellent working relationships with all key event stakeholders and suppliers including Kudos, Chartwells, Showsec etc
  • To ensure excellent customer service is provided, always through regular meetings, by maintaining communication, ensuring satisfaction, and building customer loyalty.
  • To manage and maintain the customer client database and ensure that it is used to its full potential, sending mail shots, responding to enquires etc.

Finance

  • To ensure the Finance Department receives all necessary financial information regarding advertising sales and ensure financial regulations and procedures are adhered to.
  • Ensure that all income targets are met, monitored, and regularly reviewed.
  • To provide quarterly sales briefing reports to the management team.
  • To advise the Senior Leadership Team and elected officers of new opportunities for developing new sales or alternative commercial revenue streams within the Students' Union.

Secondary and Other Duties

  • To liaise with the Marketing Manager to ensure all advertising complies with specified printing schedules and deadlines for Students' Union publications.
  • To provide administrative staff support to the Marketing Department and Commercial Services.
  • To commission advertising and promotional materials as and when required.
  • To proof publications and publicity when required by the Marketing Manager.
  • To undertake such duties with full regard to Northumbria Students' Union's Equal Opportunity Policy.
  • Be responsible for ensuring that a good relationship is developed and maintained with other Students' Union and University Departments.
  • To undertake training as and when required.
  • To uphold the Students' Unions environmental and wider corporate social responsibility practices.
  • To attend conferences and seminars as and when required.
