We're looking for a dynamic and enthusiastic Events Officer to join our small team, to support delivery of Thatcham Town Council's exciting annual programme of events.


JOB TITLE

Part time - 24 hours per week
SCP £24,948 - £26,845) pro-rata (commencing £16,182)

Events Manager


PRINCIPLE DUTIES
To work with, and support, the Events Manager to deliver an engaging calendar of civic and community events.


INTRODUCTION

Thatcham Town Council organises a number of small and medium scale community and civic events throughout the year, from fun and entertaining events such as Thatcham Family Fun Day and Thatcham Festival, to more formal and dignified events such as the Remembrance Day Parade.


The Events Officer's main role is in supporting the Events Manager with these annual events, from the pre-planning to delivery on the day, and 'washup' afterwards.

With many of the events taking place during evenings or weekends, a flexible approach is essential for this role.


The Town Council is a small team of part-time and full-time staff and, as such, there is a requirement for flexibility to support the team as needed.

Thursday 23rd March - Annual Town Meeting
Friday 28th April - Mayor's Reception
6th - 8th May - Kings Coronation - details to be confirmed
Sunday 14th May - Mayor Making
Sunday 25th June - Thatcham Family Fun Day
Sunday 16th July - United Service of Remembrance
6th - 15th October - Thatcham Festival
Saturday 11th November - Armistice Day (in partnership with RBL)
Sunday 12th November - Remembrance Sunday
Friday 1st December - Warming up for Christmas, lights switch-on
Sunday 10th December - Civic Carol Service


KEY DUTIES

Community & Civic Events
Support the Events Manager to deliver the agreed calendar of events.

Tasks include, but not limited to:

  • Manage specific smaller events, including Leisure & Craft Fair, Civic Carol Service
  • Manage administrative functions of events, including: Processing key correspondence, Research and source new participants and activities, Manage financial processes relating to purchasing and invoicing of event suppliers
  • Assist with the marketing process via a multitude of media, to engage all areas of the community
  • Support the development of fundraising through sponsorship and grants
  • Identify and coordinate the integration of communities and partners into events
  • Gather, record and review postevent feedback
  • Engage and coordinate a variety of volunteers to support delivery of the events programme
  • Supervise work experience and student placements, engaged to support delivery of the events programme
Support the Mayor's Assistant with organisation and delivery of fundraising and adhoc events.


Health & Safety

In relation to smaller events:

  • Write and/or review Risk Assessments
  • Conduct Health & Safety inspections and dynamic risk assessments, addressing actions as necessary
  • Alert Events Manager of actions identified and actioned

Public Relations / Communication
Manage the annual Community Awards scheme.
Prepare biannual newsletter for distribution to the local community, liaising with printers and distributors to ensure timely distribution.


General
Undertake and support work carried out by Senior Managers, as required.

Duties shared with all Administrative Officers:

  • Answer and deal with incoming telephone calls
  • Ensure incoming mail is recorded and circulated daily
  • Ensure outgoing mail is recorded and posted daily
  • Reply to correspondence in liaison with Senior Officers
  • Ensure the Town Council's website and social media are updated and monitored, answering any comments or referring as appropriate
  • Log and monitor incidents and complaints on the database
  • Assist in any general administrative work as required, particularly when deadlines have to be met
  • Assist with their work to ensure the smooth running of the Town Council

General
Attend training courses as required and to support personal development.
Such other duties as the Town Council may require from time to time.


BUDGETARY / FINANCIAL RESPONSIBILITY
Management of predetermined budgets for each event, under the direction of the Events Manager.
