Number One Property Management, a leading company in Newport, is seeking a dedicated Lettings Administrator to join our team.


This is a fantastic opportunity to work with a growing organisation and play a vital role in ensuring smooth and successful lettings operations.


You will be supporting the team during the whole lettings process, with a specific focus on the tenancy onboarding process which covers property listing to the tenants check-in.


Responsibilities:


  • Provide comprehensive administrative support to the lettings department, assisting with daytoday operations.
  • Arrange valuations and listings, plus manage the listings on the relevant portal (Rightmove, Zoopla etc)
  • Coordinate property viewings, schedule appointments, and communicate with prospective tenants in a professional and timely manner.
  • Handle all aspects of the tenancy process, including preparing tenancy agreements, conducting reference checks, managing inventories and key release.
  • Coordinate smooth transitions when onboarding a tenancy / property from another agent or Landlord.
  • Respond promptly and effectively to client inquiries, maintaining exceptional levels of customer service.
  • Ensure accurate and uptodate data entry and management of property information using our internal systems.
  • Collaborate closely with team members to optimise workflow and ensure smooth starts to tenancies.
  • Perform general administrative duties, such as managing correspondence, organizing files, and handling phone calls.

Requirements:


  • Previous experience in a similar administrative role within the property management sector is desirable.
  • Exceptional organisational skills, with the ability to prioritize tasks and meet deadlines in a fastpaced environment.
  • Attention to detail and a meticulous approach to maintaining accurate records and documentation.
  • Proficiency in using computer systems and software, including MS Office suite and property management software.
  • Excellent communication and interpersonal skills to interact effectively with clients, tenants, and colleagues.
  • Selfmotivation and a proactive attitude, able to work independently as well as part of a team.
  • Familiarity with relevant lettings legislation and regulations is advantageous.

Hours, Days and Holidays:


  • 40 Hours per week
  • Monday to Friday 9:00 5:30
  • Every 3rd Saturday 9:00 5:00
  • 20 Days of annual leave plus bank holidays paid.
