Description
We are currently seeking a motivated and detail-oriented Administration Assistant to join our team.

As an Administration Assistant, you will play a crucial role in supporting the day-to-day operations of our community and day care services, ensuring smooth administrative processes, and contributing to the overall success of our programs.


This post is fixed term for up to 12 months beginning in February 2024.

The role will require you to be on site from 8am to 4pm Monday to Thursday with option to work Fridays from home or a resource.

The post is full time for 36.25 hours per week.

We will consider part time working Monday to Thursday on site for 30 hours per week 8am to 4pm including 30-minute break.

Onsite parking is available.

Interviews to be held in December 2023.

What you will be doing:


  • Daytoday administration and completion of financial tasks for the Daycentres and Dementia outreach services including taking payments from members and families for activities and events.
  • Administration of financial tasks including payment invoices, petty cash, bank lodgement, prepaid accounts, phone payments, bookings and other administration or finance tasks as they arise.
  • Using Dynamics, the organisation's membership database, and Better Impact, the organisation's volunteer database, to keep information held relevant and up to date.
  • Distributing information to members and families to help keep them updated on Jewish Care news and entertainment.
  • Providing finance, customer services and administration support to department colleagues.
  • Supporting members with transport needs.
  • Providing administrative support and presence to the senior staff team as and where required, including reception cover at key times to ensure that visitors are welcomed courteously with consideration of security procedures.
  • Attending and taking notes at departmental meetings.
  • Managing the ordering and invoicing for goods and services
  • Supporting colleagues in meals on wheels as and when required
  • Maintaining, supporting, and ensuring that the KPI systems for all areas of operations within Community Services are regularly updated.

What you will need:


  • Business and/or administration qualification or equivalent experience.
  • Experience within an administrative role.
- knowledge of General Data Protection Regulations (GDPR).

  • High levels of creativity and resourcefulness, with outstanding collaborative working styles.
  • Outstanding administrative, management and organisational skills
  • High levels of IT literacy in the use of modern business systems, such as the Microsoft Office suite, Internet and cloudbased services and Customer Relationship Management (CRM) systems.
