This is an exciting opportunity to join Airedale NHS Foundation Trust; we have apprenticeship opportunities in our busy and demanding Elective Admissions department.

We are looking for an enthusiastic person to join our busy, friendly team across three service areas; Elective Admissions Office / Endoscopy Admin Office / Pre op Assessment

This post is an Elective Admissions Clerk Level 3 Apprenticeship; and is usually completed over 12 to 18 months. We offer an induction program and on the job training which will complement the Level 3 Business Administration content. You will assist the Elective Admissions Administrator with the running of waiting lists, to liaise with appropriate staff to ensure all waiting lists are managed appropriately and utilised in accordance with the trust waiting lists management guidelines and policies.

To ensure patient case notes are available for the patient's admission, as per Trust guidelines.

**National Living Wage (for those aged 23 and over) and the National Minimum Wage (for those of at least school leaving age). The rates change on 1 April every year.

Apprentices are entitled to the apprentice rate if they're either:

  • aged under 1
  • aged 19 or over and in the first year of their apprenticeship
Your key responsibilities will include;

  • Liaising with nursing staff, consultants, secretarial and other disciplines.
  • Adhering to Trust and departmental standards.
  • Accurate and efficient data input as required into the relevant systems, such as; Unisoft / Theatreman / Patient Administration System/PPM
  • Assisting patients with general enquires
  • Being aware of the National Cancer Targets (2 week Wait)
  • Being aware of the National Waiting Time Targets
Other duties may include;

  • Obtaining necessary medical records both internally and from other providers
  • Distributing case notes / xrays/operation and admissions lists to the appropriate areas; ensuring notes correspond against the lists
  • To ensure all letters to patients/GPs are dispatched correctly and promptly with the appropriate information leaflets, consent forms and preparation if required.
You will need good IT, organisational and communication skills and a willingness to learn and develop.

To ensure patient case notes are available for the patient's admission, as per Trust guidelines.


To ensure all necessary medical records where appropriate are obtained both internally and from other providers and prepared for admission in accordance with admission requirements in a timely manner.

Ensure the electronic patient casenotes tracking system is updated at all times.


Protect patient privacy by ensuring that all data and information relating to them does not pass to unauthorised individuals or organisations by ensuring it is held in the strictest confidence.


Help patients, relatives and colleagues by dealing with telephone and face to face enquiries in a constructive and sympathetic manner, tact may be required for situations where it is necessary to communicate unwelcome information.

To ensure all letters to patients/GPs are dispatched correctly and promptly.

To ensure patient correspondence includes all appropriate information leaflets, consent forms, and bowel preparation if required etc.

Responsible for booking and monitoring patient transport as required in line with NHS and Trust policy.

Distribute case notes/x-rays/operation lists and admission lists to appropriate areas, ensuring the notes correspond against the admission list.

Ensure admission lists and operation lists are marked clearly to the relevant areas.

Data input as required in to the Unisoft system / Theatre system / Patients Administration System / Microsoft Packages.

Carry out photocopying and fax
