The Temporary Staffing Service at Central and North West London NHS Foundation Trust (CNWL) is currently part of the larger team which is responsible for most transactional HR work at the Trust.

We are making a number of changes to our the Temporary Staffing aspect of our work with the aim of providing a more efficient service.


We are looking for two Temporary Staffing Advisors to join our team with the aim of assisting our clinical services in providing a safe clinical service through filling staffing gaps.

The Temporary Staffing Advisors will focus on supporting managers in sourcing appropriate cover through use of our Bank workers or through engaging with recruitment agencies.

Vaccination

You must have the ability to balance a busy workload and prioritise with autonomy.

You will have exceptional customer service, both written and verbally in order to support staff both on the phone and via our general enquiries.

You will have experience in working in a temporary staffing related service and understand the importance of our role in achieving a safe service for patients.

You will have excellent IT skills in order to use and maintain our systems which will include running and analysing reports.

You will benefit from the support of our Team Leader who's main focus is temporary staffing as well as our Resourcing Partners who are responsible for the overall resourcing service delivered to each division.


CNWL is a large Trust that covers a range of clinical services covering most specialities including both physical and mental health in the community and on inpatient wards.

We also provide healthcare to a number of prisons across the South East of England.

Being a large Trust, there is plenty of room for development due to the number of different services we support.

You will have the opportunity to build a good understanding of the overall healthcare system.


Job Summary:


  • To support the Temporary Staffing Service in delivering an effective, efficient, cost effective and customerfocused service.
  • To provide comprehensive administrative support to ensure the effective deployment, management and payment of temporary staff (bank and agency) in accordance with policies and procedures.
  • To be proactive in ensuring shifts are filled with bank workers, reducing agency use.
  • To provide advice and support to temporary staff, agencies and line managers, guiding all aspects of the temporary staffing process in accordance with policies and procedures and national guidelines.
Deployment of Temporary Staff

  • To ensure availability on the bank staff management system is accurate at all times.
  • To deploy temporary staff through the bank staff management system into available shifts in accordance with their deployment permissions, ensuring that policies regarding working hours are adhered to.
  • To ensure line managers are regularly informed about the fulfilment of temporary staffing requirements in line with procedures.
  • To raise issues regarding the fulfilment of shifts to the Temporary Staffing Adviser as required.
  • To liaise with agencies to fill available shifts when these cannot be filled by Bank staff.
  • To manage the administration and payment of agency staff, including coding and validating invoices as required.
  • To ensure the receipt of all compliance checklists and associated information in relation to agency workers.
  • To raise any concerns regarding agencies to the Temporary Staffing Adviser.
  • To take responsibility for management of the Temporary Staffing Service out of hours and at weekends, when there is no management cover.
Management of Temporary Staff

  • To liaise with bank staff to ensure their training and registration remain up to date.
  • To monitor the registration, skills, training and performance of Bank staff, notifying the Temporary Staffing Adviser of any change in circumstances that may affect a Bank staff members deployment permissions, including personal preferences.
  • To maintain the bank staff management system, ensuring that all information regarding temporary staff within it is accurate at all times.
  • To manage the change process for all bank staff, ensuring that information within the ESR system is accurate at all times.
  • To monitor the use of bank staff, identifying reasons for nonuse of dormant workers, liaising with staff and ensuring they are removed from systems as necessary.
  • To ensure hours worked by bank staff are correct and authorised by managers through the bank staff management system in line with policies and procedures, therefore ensuring the accurate payment of Bank staff.
  • To act as the first point of contact for all temporary staff, managing any queries, including those related to deployment or pay, raising with the Temporary Staffing Adviser as appropriate.
  • To raise any concerns or incidents regarding temporary staff (bank and agency) to the Temporary Staffing Adviser.
  • To ensure all relevant policies for temporary staff are followed and to notify
