The Role


To provide efficient and effective administrative, secretarial, and organisational support to the Global Innovation Director and ad hoc secretarial support to senior managers within Innovation as well as admin support for the Liverpool site.


Principle Accountabilities

  • To provide a Personal Assistant service for the Global Innovation Director and extended Innovation Leadership team (Liverpool based).
  • Preparation of briefing packs for meetings, preparation of Power Point presentations, budget reports, expenses & invoicing and to followup with others on workflows & actions to ensure their completion
  • To operate with autonomy in the absence of the Global Innovation Director, to ensure that issues arising are appropriately addressed, workflows continued, and actions completed
  • To provide secretarial support to other senior managers in the innovation team especially where complex travel or large international meeting arrangements are required,
  • Work closely with the PA/EA network across the GCO and wider Imperial Brands Company to support each other during busy periods, ensure continuity in times of absence and ensure smooth running of the administrative side of the department.

Education, Key Skills & Experience
Essential

  • Experience of providing full personal assistant and secretarial service to senior managers with international scope
  • Proficient in use of all aspects of Microsoft Office, especially power point, excel and word
  • Experienced in arranging national/international travel with complex itineraries
  • Excellent interpersonal skills, collaborating with diverse team and professional approach to work
  • Needs to be:

  • Experience in searching electronic & hardcopy information sources and providing unbiased summaries of data
  • Ability to interact with staff and stakeholders, both internal and external, at all levels
  • Excellent written & spoken English (a second language is an advantage).

  • Background understanding of scientific terms an advantage
  • Strong digital skills an advantage
  • Significant experience in similar role is desirable
