Job Title:
Workshop Administrator

Directly reports to:
Regional Workshop Manager


Aim of the role:
The overarching purpose of the Workshop Administrator is to provide comprehensive administration services to the Workshop.

This will include supporting the Regional Workshop Manager with the provision of timely data, taking responsibility for the accurate processing of job card information and providing support for vehicle scheduling and invoicing and liaising with our clients and third-party providers.


Key component parts being:

  • Ensure all Fleet and Plant due dates are met and planned into the workshops accordingly
  • To open and close job cards in a timely manner
  • To accurately process and maintain appropriate records
  • To programme work into the workshop as required
  • Dealing with phone calls and queries
  • Preparing statistics and figures for reporting purposes
  • Develop working relationships with third party providers and ensure knowledge of service level agreements
  • Support the procurement of parts/services
  • Support workshops to implement and communicate health and safety reporting processes
  • Support the Regional Workshop Manager as required.

Further Accountabilities:

  • To comply with company SHE (Safety, Health and Environmental) policy, procedures and legal requirements
  • Coordinate and produce accurate and timely reports and analysis
  • Have a clear understanding of the importance of Profit & Loss and the importance of cost authorisations
  • Assist with collating information for management reporting in order to drive change within the business
  • Work with the Regional Workshop Team to provide KPI reporting processes and financial indicators
  • Maximise customer revenues and margins through the promotion and upselling of products and services
  • Develop close relationships with key customers to help convert profit opportunities
  • Identify opportunities for continued cost savings and efficiencies
  • Regular reporting of KPIs to measure operational effectiveness and workshop productivity
  • Work with team to ensure that invoicing processes are adhered to, to minimise accounting errors
  • Support Super Users in the production of Jaama and new processes and procedures that help to eliminate challenges with the current ways of working.
Working Monday - Friday 8am-5pm, with 1 hour lunch.
23 days holiday plus bank holidays.

Rate of Pay:

£27, £28,000.00 per year
