We are looking for an Office Assistant to join our Bristol team


Location:
Bristol office - due to the nature of this role there is no opportunity for hybrid/home working


Contract:
Permanent


Salary:
up to £20,000.00, plus up to 10% annual bonus

The Opportunity
We are seeking a highly motivated and reliable individual to support our Bristol Office.

Reporting to the Executive Assistant, the Office Assistant will play a vital role in providing administrative support across the business and contributing to the smooth operation of our office.

This role is an excellent opportunity for a proactive and reliable individual looking to kickstart their career in a busy office environment.


Responsibilities
We work in an exciting and dynamic environment where every day is likely to be a little different but some of the main responsibilities in this role will include:

  • Act as the main point of contact for the office, greeting visitors in a professional and friendly manner and answering phone calls and taking messages
  • Assist with general administrative tasks for the Bristol team
  • Sort and distribute incoming post and prepare outgoing post and packages
  • Maintain an organised office environment including managing levels of office and kitchen supplies and replenish as needed.
  • Assist the EA in scheduling appointments and meetings. Coordinate meeting room bookings and arrange necessary equipment or refreshments as required
  • Book team travel and accommodation and assist with organising company events
  • Work closely with different departments and team members to facilitate efficient communication and information sharing
  • Assist in maintaining health and safety procedures and protocols within the office. Conduct regular checks to ensure compliance with safety regulations, report any potential hazards, and coordinate necessary maintenance or repairs
  • Ad hoc tasks as required to contribute to the smooth running of the office
  • Liaising with building management on office related topics, deliveries & visitors

About you & what you will bring

  • Excellent communication skills, both verbal and written
  • Strong people skills & the ability to interact effectively with a diverse range of stakeholders
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent organisation skills and strong attention to detail
  • Flexibility to adapt to changing priorities and work effectively in a fastpaced environment
  • Ability to manage and prioritise their own workload
  • Proactive approach to problemsolving with the ability to identify issues and propose solutions
  • The right approach and attitude to get things done and make a positive impact

  • CCAT Assessment
  • The Cognitive Criteria Aptitude test will include questions on verbal, numerical and spatial reasoning.
  • A short 20minute phone screen with our HR partner. We will tell you more about our role, the team and business, and allow us to learn more about you, why you applied, and what you can bring to Vaarst. You'll have the opportunity to ask any questions you have.
  • A 1hour interview with a couple of members of our team. This part of the process allows you to get a real feel for the work the team is doing and allows us to learn more about your skillsets. In the interview, we will talk about your previous experience in quality and testing. We'll ask some questions around technologies we use, key skills for the role, and what we look for in a team member. Again, you'll have the opportunity to ask any questions you have.
  • Offer If you are successful in the process, we will follow up with an offer for the role.
