Senior Administrator (Part-Time Flexible)

About the Role


We have a fantastic opportunity for a Senior Administrator to join our Special Projects (SP) team based in Ampthill, Bedfordshire.

This is a part-time role benefitting from our 4xFlex working pattern, so were looking for someone to work 20 hours a week,5 hours a day Mon - Thu.

Those 5 hours a day can be flexible and could suit someone looking to work around school hours. We also support hybrid working so typically 2 days a week in Ampthill and 2 days a week from home (depending on business needs)

Responsibilities include but are not limited to:

  • Primarily support to SP Programme Management Teams, Project Managers and PA, providing administrative support, data and information as required
  • Updating the PSA database ensuring all members are compliant and issuing policy hub documents (training will be provided)
  • To organise classified readon requirements with ITC and Security departments
  • Manage the office floorplate desk assignments, desk moves, keys, laptop, locktop & phone lockers
  • Assist in management of security procedures
  • Upload required documents on the SP SharePoint site (training will be provided)
  • Coordinate any SP communications alongside the PA
  • Manage all Programme team stationary requirements
  • Provide assistance to PA with all SP Vice President (VP) visit logistics: VP notification form, badges, clearances, catering, room bookings, security sweeps, Skyvisitor, tour requests, coordinating with Executive office
  • Assist the Programme team in managing their expenses via Concur (training will be provided)
  • Assist Programme team with all travel requirements & associated authorisations / paperwork, and liaise with security and ITC departments.
  • Collate required info in SAP relating to budget spends (training will be provided)
Required skills, qualifications and experience

  • Proven experience as a Senior Administrator / Project Administrator or similar role
  • Excellent stakeholder management skills
  • Able to work in a fastpaced environment and be agile and adapt to changing priorities
  • Team player
  • Strong interpersonal and communication skills in both written and verbal
  • Intermediate to advanced skills and knowledge in Microsoft Office i.e. Microsoft Excel, PowerPoint, Word
  • Keen attention to detail
  • Proactive problem solver
  • Highly organised and pragmatic approach and able to deliver to set deadlines
  • Holds high level of professionalism at all times, ensuring high standards
  • Capable of attaining and maintaining SC clearance
