Description

The role will involve day to day management of the Urology & General Surgery team and provide operational management support to the General Surgery division.

You will be expected to manage workload and assist with training and troubleshooting when required.

The Team Leader will act as an essential point of contact for staff and all patients waiting for an outpatient procedure /diagnostic appointment.


We are looking for someone with good knowledge of the national 18 week targets, experience in operational management or of leading teams, who is enthusiastic and has a positive approach to challenges.

You will need to have high level of organisational skills and be able to communicate with a wide range of health care professionals as well as patients and their relatives.

Key responsibilities for this role are:

  • Direct line management of your administrative team including annual leave, appraisal, monitoring and managing sickness, capability, disciplinary and mandatory training in line with Trust policies and procedures.
  • Facilitating regular team meetings and 1 to 1 meetings with clinical office team.
  • Participate in the recruitment and selection and interview process for new members of administration staff as required and ensure Trust training undertaken.
  • Provide detailed local office orientation for clinical and administrative staff, working with Band 4s and 3s to ensure this is completed.
  • Support the delivery of strong performance against local and national KPIs.
  • Ensure efficient use of resources clinics, theatre lists and clinician's time.
  • Manage patients through the 18 week pathway in a timely & accurate manner.
  • In liaison with the ASM, help support the coordination of the Service Plan to ensure effective use of resources based on service needs. Respond to emergency situations including sick leave, absence, and unforeseen medical situations.
  • Deputising for the ASM during periods of leave only for appropriate/specific tasks and as agreed.
  • Support the ASM/SM with compliance of mandatory training, appraisals, complaints and PALS.
  • Supporting and keeping a large team wellbeing a priority.
  • Always maintaining a "patients first" attitude.

Leadership or managerial

  • Effectively manage the clinical office, administration, and clinic functions to agreed Standard Operating Procedures and Key Performance Indicators, and in line with the Trust Values, Policies and Procedures.
  • Line manage the clinical office staff including appraisals, monitoring, and managing sickness, capability, disciplinary and mandatory training in line with Trust policies and procedures.
  • Ensure clinics are not overbooked and necessary clinics are covered during times of annual leave/sickness.
  • Deputising for the assistant service manager during periods of leave only for appropriate/specific tasks and as agreed.
Information and reporting

  • Attend monthly Chief Executive Team Brief and cascade to clinical office team and junior medical staff.
  • Facilitating regular team meetings with clinical office team.
  • Escalate any operational or capacity issues to Assistant Service Manager to ensure compliance with Trust targets and quality of patient care.
  • Assist in investigating PALS and Complaints that are relevant to the clinics and respond as required.
  • In liaison with the medical lead, compile and communicate all doctors' duty rotas to ensure effective use of resources. Ensure gaps in the rota are covered appropriately.
Technology or system support

  • Train clinical office staff in all duties required including Cerner, eRS, and any other relevant system.
