We are looking for a receptionist to work across both of our medical centres - one in Windsor (main site) and one in Egham (branch site).

The position plays an important part in the friendly and hard-working Reception teams at both our medical centres.

Previous experience of working in a GP surgery is desirable but not essential as full training and support will be provided but applicants must:

  • have excellent phone manner and face to face customer service skills
- possess good IT skills
- be able to to multi-task in a calm and efficient way in a very busy environment
- be able to deal with any difficult situations in a firm but empathetic manner.


The purpose of the role is to:

  • Facilitate effective communication between patients and members of practice and external healthcare professionals / agencies. You must enjoy working with the public.
  • Provide positive, friendly image to patients/visitors, in person or on the phone.
  • Assist and direct patients in accessing the appropriate services or healthcare professional in a courteous, efficient and effective manner.
  • Undertake a variety of admin duties to aid the smooth running of the practice, including provision of clerical support to clinical staff and other team members, as relevant and required.

Responsibilities:


The duties and responsibilities to be undertaken by members of the reception and administration team may include any or all of the items in the following list.

Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving practice workload and staffing;

  • Opening up / locking up of the practice premises and maintaining security in accordance with the Practice protocols
  • Ensure an effective and efficient reception service is provided to patients and any visitors to the practice
  • Ensure maintenance of good teamwork with colleagues
  • Processing face to face and telephone and online requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Taking messages and passing on information
  • Clearing and restocking of some consulting room supplies, as required
  • Ensuring that patient records are kept up to date with their current contact information by checking
  • Relaying messages to patients from clinicians regarding test results, appointment requests, data requirements in a timely and efficient manner usually via internal patient tasks via EMIS Web clinical system
  • Taking payment via card reader in person or over the phone and issue receipts for same
  • Keeping the reception area, waiting room, notice boards and leaflets tidy, free from obstructions, clutter and uptodate
  • Undertake any other duties appropriate to the post as requested by the Partners or Management

Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.


Health and Safety


The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy.

This will include;

  • Using personal security systems within the workplace according to practice guidelines
  • Identify the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Active reporting of health & safety and infection hazards immediately when recognised
  • Keeping own work areas and general / patient areas generally clean, assisting in the maintenan
