Aegis Trust


The Aegis Trust is a UK-registered international NGO which works towards the prediction, prevention, recovery from and ultimate elimination of identity-based violence and mass atrocities around the world.

It takes an 'upstream prevention' approach, using education, research and advocacy to promote strategies aimed at changing human behaviour.

Aegis helped to establish and manages the Kigali Genocide Memorial and has programmes in Rwanda, Central African Republic, and South Sudan, addressing key drivers of conflict and insecurity through (1) promoting peace and values education in formal and community-based settings; (2) supporting trauma healing; (3) building sustainable livelihoods as alternatives to violence.


Responsible for:

Assisting the Head of People on all aspects of HR administration for our team, as well as periodic assistance for the Volunteer Coordination team, providing first level HR support, maintaining HR systems and coordinating all people related processes, on the following:

Main responsibilities

Human Resources:

  • Ensure accurate and timely communication on all people related matters and prompt resolution of matters and queries.
  • Drafting HR documentation, ensuring accuracy and attention to detail as well as ensuring timely completion of documentation both sides
  • Learning and Development administration including organising, creating and delivering courses to the WR team, both online and face to face, individually and in groups.
  • Managing thorough and effective onboarding processes for new team members including delivering HR/Company inductions
  • Organise and maintain the HR management systems efficiently, including all related documentation, associated administration, filing and data processing, ensuring confidentiality and Data Protection Legislation is fully complied with
  • Ensuring completion and compliance with internal and external HR audits.
  • Updating and maintaining employee HR files, ensuring accuracy and confidentiality
  • Coordinate team appreciations including long service and birthdays, awards, team socials, committees etc.
  • Assist the Head of People with HR processes, including performance, grievance and disciplinary meetings and documentation.
  • Contributing to the development and implementations of new policies and procedures.
  • Collation of time and attendance data for payroll processing, ensuring accuracy and deadlines are met
  • Responsible for internal communications initiatives, team updates, newsletters etc.
  • Generating HR reports and collating metrics for the Head of People including all relevant People KPI's.
  • Creating and distributing meeting agendas, note taking for any meetings

Volunteers:


  • Supporting the Volunteer Coordination team on the recruitment of volunteers for our stores, offices and Distribution Centre, including assisting with interviews
  • Assist with Learning & Development initiatives for volunteers and volunteer management team
  • Assist with onboarding and retention initiatives across all people areas
  • Assisting with exit interviews, obtaining volunteer feedback and analysing volunteer data.

What you'll bring:


  • Understanding of HR and employment law
  • HR qualification or studying towards would be advantageous
  • The ability to build credibility with people at all levels, influence and negotiate
  • The experience to prioritise people, well balanced with compliance and commerciality
  • Experienced in providing excellent customer service for internal stakeholders
  • The ability to maintain professional boundaries
  • The ability to maintain confidentiality at all times
  • Organised with meticulous attention to detail and ability to prioritise workload
  • Excellent communication skills, with the ability to question and clarify information
  • A proactive and positive attitude, demonstrating initiative and ownership
