About the Role:
A varied role, providing coordination and administrative support across key areas of the business, with a particular focus on Finance administration and office management as well as project support for the Management Team.
Key tasks and responsibilities:
Finance
- Administering the setup of new clients and maintenance of accurate invoicing information on all Client accounts
- Production of Client invoice instructions and maintenance of accurate records on invoice instructions
- Dealing with Accounts Payable and Accounts Receivable queries
- Raising PO requests for submission to the Central Finance Team
- Maintaining relationships with suppliers, being first point of contact for all relevant enquiries
- Gathering company credit card receipts and processing of expenses for all employees
Business Support
- First line support for IT and Telephony issues, supporting staff in resolving issues and queries with our 3rd party IT and Telephony support.
- Supporting the Directors with the smooth running of the office and facilities day to day.
- Handling the booking of travel and accommodation for staff as required.
- Maintaining up to date records and renewal reminders for things like Company Insurance, and Supplier Agreements
- General administrative support across the business as required e.g data input, reporting, research as required.
Essential Skills and Attributes:
Skills
- Strong IT literacy and highly competent using MS Office (Word, Excel, Outlook, PowerPoint)
- Good understanding of the core finance functions across Accounts Payable, Accounts Receivable and Credit Control.
- Strong planning & organisation skills
- Strong administration experience within a professional environment
- Ability to work in a team environment, supporting colleagues and sharing expertise
- Experienced in implementation of new software and procedures
- Comfortable managing and controlling third party relationships to get the most efficient and costeffective services
