Hours of work: 37.5 hours per week (hours of work will be flexible and dictated by the needs of the business, therefore it is expected that the successful applicant will work those hours necessary to successfully discharge the duties of the role).

The role

Overview

To provide all PA services to the CEO and Board of Directors of Age Partnership. Improve communication within the business and help drive the culture of colleague engagement and outstanding customer service.


This role is ideal for a highly organised, pro-active and ambitious individual, looking to grow their skills and experience working closely with our CEO.

Key outputs

= Diary Management for the CEO and Board of Directors to prioritise and co-ordinate appointments.

= Arrangement of meetings including; circulation of any necessary papers, booking and setting up of meeting rooms and sending required invitations.

= Agree and distribute meeting agendas to attendees in good time.

= Ensuring the CEO is fully prepared for any meetings.

= Attend meetings taking minutes and following up on actions ensuring all completed or escalated.

= Provision of hospitality to visitors.

= Handling of sensitive and confidential business information.

= Booking all travel as required, including the arrangement of all travel to and from venues and co-ordinating full itinerary's.

= Screening of all external calls and enquires to the Board of Directors and handle them appropriately.

= Organise, interpret and prepare high quality reports and presentations for meetings and board reports.

= Organising and maintaining filing systems.

= Arrangement of company events.

= Support on ad-hoc projects and initiatives.

= Assist in driving culture through colleague engagement and communication.

= Other ad-hoc duties as and when required by the business.

The person

Overview


A highly professional and conscientious individual with strong interpersonal skills who demonstrates a hands on, proactive, flexible and organised approach to all elements of work.

Adaptable to business needs with the ability to work with all colleagues at all levels. The individual will be discreet and have the ability to handle confidential information appropriately.


This role is to work independently whilst supporting our CEO and Board of Directors in multiple tasks, managing time efficiently and ensuring a high attention to detail.

Skills & knowledge

Essential

= Previous PA experience at board level is essential.

= Microsoft office expertise in particular Word, Excel and PowerPoint.

= Demonstrates a high level of discretion and confidentiality.

= Highly ambitious and pro-active.

= Ability to adapt to different working styles.

= Highly accurate and reliable.

= Ability to communicate at all levels both internally and externally.


Qualifications:

General education

= Good standard of GCSEs and A levels (or equivalent).
