Responsibilities:
- Operating and managing calls for The Maltings and Customers in serviced offices, relaying accurate messages.
- Maintaining a clean and organised reception area at all times.
- Welcoming visitors to the building, directing them as necessary and ensuring all security and health & safety procedures are followed.
- Ensuring serviced offices and communal areas, including meeting rooms, break out areas, corridors, and Coworking space are clean, tidy and presentable at all times.
- Replenish refreshments/stock as necessary.
- Provide central administration support to tenants what does this look like i.e. filing, photocopying, typing etc
- Coordinate meeting room bookings effectively and ensuring they are added to the invoicing system to be invoiced monthly.
- Keeping a log of incoming and outgoing post, ensuring tenants are charged accurately for their outgoing mail by adding it to the invoicing system as necessary.
- Assist the Office Manager with the running of the Coworking space, setting up and managing members.
- Promote teamwork culture by providing assistance to colleagues.
- Maintain and update our business management system, ensuring all building maintenance requests, accidents and improvements are logged on the system.
- Carry out weekly inspections, using the business management system to record improvements and actions, creating clear communication channels across multiple teams.
- Follow set objectives to help promote the Space 2b Community.
- Push sales for all services provided by Space 2b, whilst recording accurate enquiries.
- Ensure our customer experience is a positive one.
- Greet and welcome visitors in a professional and friendly manner
- Perform clerical duties such as filing, photocopying, scanning, and faxing
- Maintain office supplies inventory and place orders when necessary
- Assist with data entry and maintaining databases
- Handle incoming and outgoing mail and packages
Requirements:
Excellent clerical and organizational skills
Proficient in computerized systems, including data entry and using office softwares
Strong communication skills, both verbal and written
Professional phone etiquette and customer service skills
Ability to multitask and prioritize tasks effectively

£23,000.00-£25,000.00 per year
