About the role:


The College Services Officer (CSO) at ARU College (ARUC) is a critical member of the College team in the administration of the key aspects of the student academic life cycle.


The CSO will assist the Director of College Services (DCS) in the implementation and delivery of effective student support services including:student finance, student enrichment and enhancement, student enrolment and registration, student orientation andairport transfers, student accommodation, welfare support (COMPASS programme), student representative training, student communications, student records and compliance.


The CSO will assist the Director of College Services in maintaining the College's student management system ensuring that records are compliant with College, partner University and external stakeholder expectations.

The CSO will adhere to all policies andregulations always ensuring a high standard of accuracy and completeness.


The role requires a self-starter who is able to use their initiative and be an active and productive member of a small cross-functional team.

The CSO must possess the ability and commitment to maintain the highest standards of accuracy throughout their work.


College Services Officer Duties:


Responsibilities include (but are not limited to):

Student Finance

  • Student Finance England processes to include administration of changes of circumstances, bursaries, and entitlement letters.
  • Support to ensure the prompt payment of fees, commissions and student & sponsor debt.
  • Liaison with students regarding setting up payment plans.
  • Processing of student payments, refund requests, transfers and reconciliations.
  • Ensuring that student records management system accurate reflects the financial status of all students.
  • Administration of the daytoday finance function of the College to include invoicing and purchase orders.

Student Experience

  • Support student attendance monitoring processes, escalating absences as appropriate to key stakeholders.
  • Support our students' wellbeing by taking an active role in our COMPASS programme (holistic support for students considered to be vulnerable by reason of age, mental health, physical health or disability).
  • Participate in the College's 24/7 outofhours response programme.
  • Effective student communication via portals and other media/online technologies/social media.
  • Help to coordinate the 'Student Voice' through the Student Staff Liaison Committee, Student Council, iGraduate and Surveys ensuring student representation on all College committees.
  • Support initiatives within the scope of the Collective programme (network to develop and promote our extracurricular activities and events).

Student Orientation & Induction

  • Support the development and implementation of an effective and enjoyable orientation programme.
  • Engage with and train Welcome Buddies to be integral part of the orientation experience for new students.
  • Ensure that College colleagues, student representatives and student ambassadors are well trained and available as necessary to assist with the arrival, orientation, and enrolment processes of new and returning students.
  • Monitor student visas checking and scanning.
  • Liaise with accommodation providers and agencies as required.
  • Arrange airport meet and greets and Navinsure (insurance cover for international students studying in the UK), where appropriate.
  • Support students with the checking of their timetables.

Compliance

  • Always maintain confidentiality regarding college information and student files in line with GDPR.

College Services Officers Requirements:


  • University level qualifications, preferably in an Accounting, Finance, Maths or Business
- related field or at least two (2) years' experience in a relevant industry and/or have equivalent qualifications and/or professional experience.

  • Solutionsorientated quickthinker.
  • Experience of working with data systems and a good understanding of the importance of file management (including electronic files).
  • Have the ability to communicate with staff and students from a diverse range of cultural and educational backgrounds.
  • Excellent knowledge of Microsoft Excel, in particular formulas and functions.
  • Good data analysis and presentation skills.
  • High attention to detail.
  • A strong team player who is also able to work autonomously.
  • The ability to use Microsoft Office to present data in various formats.
  • Demonstrate sound knowledge of equal opportunity, equity and workplace health & safety principles and the ability to implement them.
