Are you great with people, very organized, and passionate about patient care? The Vascular Directorate are seeking a dynamic, proactive and highly motivated individual to join the inpatients administrative and clerical team as a ward administrator.

Our Vascular team provide a wide range of specialist and general services for our adult patient cohort.

The majority of our services are based at St Mary's Hospital, which is also home to our most renowned and innovative vascular surgeries.

We also offer some services at Hammersmith and Charring Cross hospital.


Duties include but are not limited to registering patients and adding them to the bed board, meeting and greeting patients and visitors, filing, arranging interpreters and patient transport, and general clerical duties such as booking of appointments and answering telephone calls.

The post holder is also expected to work in conjunction with medical records guidelines; with the movement of case-notes around the Trust, the provision of, preparation and maintenance of patient case-notes during admission and discharge of patients, as well as maintaining up to date electronic records.


This post is offered on a full time basis of 37.5 hours per week and may require occasional weekend work.


To provide effective and efficient clerical and reception support to a designated ward, ensuring that administration processes meet the needs of all service users.

This may require the post-holder to work at a different site in the event of absence.

Patient/ Client Care

  • Promote a customer focused approach to receive patients and visitors to the ward, providing a courteous, responsive and effective first point of contact (in person and by telephone) for patients, carers and healthcare professionals, both internal and external to the Trust.
  • Use judgement in responding to queries or taking messages. Ensure that all enquires are dealt with politely, courteously, promptly and professionally.

  • To ensure that all telephone calls are answered within the agreed time and in line with the Trust's telephone standards.
  • Redirect calls to other departments if necessary or when callers are misdirected.
  • To arrange transport and interpreters when required, clearly communicating with the nursing staff.
  • Make outpatient appointments as appropriate prior to discharge in conjunction with the patients future care plans.
Administration / Clerical Services

  • Prioritise, plan and organise daily workload, ensuring that daily tasks and ongoing workloads are prioritised and completed within agreed and acceptable timescales, ensuring the ward manager is informed as relevant of any changes in working pattern.
  • To photocopy documentation and ensure that stationery is well stocked at all times.
  • To answer telephone calls and deal with nonnursing/nonmedical enquiries.
  • Maintain good communication links with the ward team and other
departments.

  • Arrange for any repairs that are required, after discussion with the nurse in charge and or ward manager, and undertake other requests as directed.
  • Communicate and document information accordingly.
  • Maintain existing systems as necessary to a professional and consistent standard.
  • To undertake any other clerical task as agreed mutually with the ward manager to ensure that the administrative systems meet the needs of the ward.
  • Appropriate disposal and shredding of confidential papers.
  • To record/update admission, discharge/transfer of patient data on Trust information systems in the appropriate timeframe under the direction of registered nurses, to include predicted dates of discharge.
