PURPOSE OF JOB
To support the business by administering the purchasing procedures.
MAIN RESPONSIBILITIES
- Process incoming purchase order requests in a timely manner and in accordance with authority limits
- Check PO requests have been raised correctly and costs match quotations received.
- Allocate and issue order numbers for all approved purchase orders to the requester
- Maintain excel spreadsheet to obtain PO numbers.
- Ensure quotations are saved in the relevant purchase order document folder.
- Review and process purchase invoices received, which have been authorised for payment.
- Liaise with suppliers/requesters if there is an invoice query.
- Reconcile supplier statements.
- Request copies of missing invoices.
- Ensure all supplier delivery notes are saved in the purchase order document folder
- Assist Procurement Manager to maintain Approved Suppliers List Spreadsheet, ensuring that all documentation is kept up to date.
- Assist the Procurement Manager in contacting suppliers to request renewed documentation as shown on Approved Suppliers List Spreadsheet.
- Assist the Procurement Manager with request for Material Data Sheets for substances purchased and stored at the depot
- Assist the Procurement Manager as deemed appropriate to increase knowledge and skills
- Attend required safety briefings and ensure you understand the context and what is required of you
- Participate in drug and alcohol screening when required
- Report any accident, incident or near miss in which you are involved or which you witness and to fully cooperate with any subsequent investigation
- Adhere to all company policies and procedures
ESSENTIAL SKILLS
- Able to perform all duties in a polite, efficient, professional and courteous manner
- Reliable, methodical and well organised
- Excellent verbal, numeric and written skills
- Excellent IT skills, fully skilled in Microsoft Office suite (Word, Excel and Outlook)
- Excellent telephone manner
- Good attention to detail with a tenacious approach
- Maintains high personal standards and always keen to learn new skills
- Able to manage priorities and deliver on time

£11,440.00 per year
