This role is being advertised by Savills Management Resources (SMR) a wholly owned entity of Savills (UK) Limited but a separate employing entity which is not accredited by Real Living Wage Foundation.

Purpose of the Role


The main purpose of the role is to support the estate manager in all aspects of the Day to day running and maintenance of the 4 multi-let offices and wider estate as well as assisting with overseeing service contracts and ensuring that a high quality ofservice is provided to the buildings and occupiers at all times.


Key Responsibilities

  • Ensure that Savills H+S and financial platforms are up to date and complete at all times.
  • Ensure all Weekly, Monthly and Quarterly checklists are complete and uploaded onto H+S platforms.
  • Ensure that high standards of property presentation are achieved and maintained at all times.
  • Ensure best value is being achieved by analysing, auditing and proposing improvements to the existing property management systems in operation.
  • Evaluate existing contractual relationships, and ensure that the tenants are receiving best value.
  • Your extended duties require you to manage the estate to ensure adequate coverage in the absence of the estate manager and /or RFM, and as and when requested.
  • Create and maintain an effective working relationship with existing suppliers.
  • Ensure and implement best practice whilst ensuring safe working practices are complied with at all times.
  • Ensure appropriate clear communication lines are established and maintained.
  • Carry out any other reasonable request of the Property Surveyor. Safety & Security team and the RFM
  • Ensure compliance with all client and Savills procedures and policies, including health and safety, COSHH and environmental matters.
  • Ensure compliance with all statutory requirements and codes of practice, health and safety requirements. Promotions/Public Relations
  • Establishing and developing good relations and partnerships with various authorities and local agencies, notable:
  • Local authority


  • Police

  • Fire Brigade
  • Public transport Providers
  • Establish and develop close working relationships with tenant representatives and manage tenant satisfaction and confidence in Savills service delivery.
  • As a member of the Savills Management team, manage and liaise with all management technical and administration staff on strategic and operation/service delivery issues towards achievement of their goals. Quality Assurance
  • Adhere to all quality assurance requirements.
  • Ensure compliance at all times with operational standards

Attend tenants meetings with minutes of the meeting to be distributed to each staff member and Savills Asset Management Surveyor.

Check coding of invoices within agreed timescales.
Maintain all plant and equipment to the very highest of standards.

Ensure that all operations and maintenance undertaken at the development conform with any other relevant legislative requirement applicable to those tasks.

Keep up to date any Program Maintenance Schedule.


Skills, Knowledge and Experience

  • Selfmotivated, able to work on own initiative.
  • Excellent managerial and interpersonal skills, a proven track record in managing change, extensive experience in managing budgets, good strategic vision and a strong commitment to customer service are vital.
  • Prior experience of the management of multi let commercial property.
  • Experience in the supervision of contractors.
  • Good understanding of property management.
  • Effective people management skills recruitment and development. A good team builder.
  • Excellent communications skills.
  • A comprehensive knowledge and understanding of legislative health & safety requirements.
  • Good time management skills able to respond to client/contract deadlines. Desirable
  • Experience of direct liaison with Police, Fire and Government Enforcement office.

Working Hours
8am-5pm


Salary
£36,000-£38,000
