Job Purpose Statement
Where you'll fit in & what our team goals are....

We're looking for a Personal Assistant to support our Infrastructure Investments team on a fixed term basis to cover parental leave.

In this role you'll be supporting a team of 6, including the Global Head of Infrastructure Investments.

Role Responsibilities

How you'll spend your time
:


  • Provide comprehensive PA support to the Global Head of Infrastructure Investments including inbox management.
  • Provide comprehensive administration support to the Infrastructure Investments team.
  • Proactively manage team diaries.
  • Extensive travel booking; arranging flights and accommodation in line with company travel policies and with the best value in mind, ensuring approvals are gained.
  • Where necessary and arranging itineraries, documentation, visas etc.
  • Prepare and submit Infrastructure Committee papers within the permitted timescales.
  • Assist with Investment Committee papers and other transaction documents.
  • Prepare and submit expense claims via the Concur system within the permitted timescales.
  • Prepare fund expenses via concur and assist the operations team on a quarterly basis with charging them back to the fund.
  • Prepare and submit expenses to the relevant portfolio assets.
  • Prepare and submit company invoices through Ariba and fund invoices via the operations department.
- intain and submit various spreadsheets.

  • Deal with external and internal meeting requests (including arranging Teams/VCs and room bookings with the relevant equipment/catering etc.)
  • Ensure all subscription renewals are completed with the vendor management team.
  • Coordinate team and Investor events i.e., offsites/lunches.
  • Deal with incoming & outgoing correspondence.
  • Update the organisation charts for the team when needed.
  • Adhoc duties such as filing, photocopying, scanning, stationary orders.
