ADMINISTRATOR SUPERVISOR REQUIRED FOR BUSY GP PRACTICE
This is an exciting opportunity to join a dynamic and forward thinking Practice. Everest Health Partnership (formally known as Sherard Road Medical Centre) is a well established Practice of over 18,500 patients.

To supervise the Admin Department on a day to day basis on behalf of the Practice Manager.


Principal duties

  • Ensure the smooth and effective management of the Admin Departments' daytoday operations
  • Liaise appropriately with reception, patients, local hospitals and community health services and others providing timely, effective responses to all enquiries
  • Resolving patient queries (either directly or queries via reception) wherever possible and where this is not possible escalate these queries to the appropriate person
  • To report any system failures; DOCMAN, econsult etc. and contact relevant support as appropriate
  • To ensure all incoming scanning and clinical post is being completed in an appropriate timeframe; to ensure patients' paper notes are being scanned to the digital record in line with policies and procedures.
  • To ensure referrals from the clinicians are completed and sent to the appropriate specialty while taking into account referral pathway, available hospital and patient preference
  • To ensure the E-RS worklists are checked regularly and incorrect/inappropriate referrals are forwarded to the correct department; ensure that referral triage comments are fed back to the referring clinician. To ensure that all 2 Week Wait suspected cancer referrals are added to the practice spreadsheet and monitored regularly
  • To ensure the econsult online triage system requests are being processed in a timely and accurate manner including appointment SMS messages sent to patients, and to feedback adverse events to the admin team
  • To liaise with the Reports secretary regarding letter/report requests from patients to assess feasibility and redirect these requests as appropriate
  • To liaise with the Safeguarding secretary to ensure safeguarding reports are sent in a timely manner.
  • To search for and code diagnoses into patients' medical records as directed by the clinicians or reports secretary; to remove clinical information from patients' medical records as directed
  • Preparing and circulating the weekly admin rota
  • To take and circulate the minutes of the weekly clinical meeting
  • Complete team member's annual appraisals in line with practice procedure and make the results of these available to management
  • To report any office equipment shortages in admin office to management to help ensure supplies are replaced swiftly
  • Any other duties as reasonably requested
