Job Title:
Executive Assistant


Reports to:

CEO

Permanent or Fixed Term:
Permanent

Weekly hours: 37.5 hrs. - Monday to Thursday 8.45am-5pm and Friday 9am-4pm

Location:
Head Office - Chorley / Hybrid


Duties and Responsibilities
This is an important corporate role within Empower supporting the smooth running of the organisation.

We're looking for an organised and detail orientated Executive Assistant to provide high quality and effective administrative and secretarial support to the Executive and
Management Team.

This is a varied role which includes working across all teams with a range of core and one-off tasks to support good governance, our future growth and modernising our services.


Key Responsibilities

  • Provide administrative support and excellent customer service to the Chief
Executive and Operations Director to support delivery of objectives and compliance with business and regulatory requirements.

  • Uphold a strict level of confidentiality.
  • Liaising with Board Members, directors, partners and stakeholders on behalf of the executive team
  • Actively contribute to effective crossteam working and Empower projects.
  • Provide governance support working to the Company Secretary.
  • Coordination and support for Empower meetings, including Board, management team and project meetings, including preparation of meeting agendas, collation of data, preparing power point presentations, drafting, formatting, and distributing of meeting papers.
  • Produce minutes and action points for meetings, ensuring that issues raised are distributed appropriately and that actions are monitored and followed up.
  • Assist in the creation, development and maintenance of accurate and effective records of Board and Committee activities in line with legal and regulatory requirements.
  • Ensure that all Board communications are timely and appropriate.
  • Effective management of electronic diaries
  • Reconciling expenses, mileage, and credit card transactions for the Executive
Team.

  • Support the lease and contract renewal process ensuring timely review of documents, liaison with leaseholders and solicitors as required.
  • Provide support in terms of the management and maintenance of documentation in line with Data Protection.
  • Support to Executive Team in terms of liaison with HR and Health and safety
Consultants, including arranging training.

  • Manage and monitor social media presence
  • Manage and develop effective relationships with key stakeholders.
  • Network and attend groups to maintain professional development, build productive partnerships and keep up to date with changes in regulation, legislation, best practice and the market place.
  • Any other duties to reflect the changing workloads and priorities within the department.

Person Specification -

Qualifications

  • No formal qualifications identified but must be able to demonstrate a high level of literacy and numeracy.

Knowledge, Skills and Experience

Essential

  • A proven ability to manage multiple priorities within timescales.
  • Excellent communication skills both orally and in writing.
  • The ability to be proactive and to work and act on your initiative
  • Be a collaborative team player.
  • Able to find and present solutions to problems and challenges.
  • Ability to assimilate large quantities of written and verbal communication quickly and produce accurate, timely minutes.
  • Excellent attention to detail.
  • Competence at using a range of computer software packages proficient in
Microsoft Office (especially Word, PowerPoint, Outlook and Excel)

  • Positive cando attitude with a willingness to learn and develop
  • A commitment to the corporate values and objectives of Empower.

Desirable

  • Experience as an Executive Assistant or experience in a similar relevant role.
  • Experience in working within a customer focused environment
  • Experience of operating in a structured Board and/or Committee environment

Salary:
£26,000.00 per year
