About the role:

To provide varied administrative support so that colleagues are assisted to deliver services to the public. To contribute to meeting team priorities and ensure confidentiality and other controls are maintained. To carry out discreet pieces of work as required.

You will have previous experience working within an administrative environment, whereby you have had to effectively manage multiple priorities.


Due to the nature of the role you will need to have sound system skills and consider yourself IT proficient particularly with Microsoft office packages such as Word, Excel Outlook and Teams You should be motivated to seek new knowledge and share in our ethos of continuous improvement.


Main duties will include:


  • Answer calls and pass on messages promptly and accurately.
  • Provide support to the Executive Assistant, Director of Operations, Executive Director of Service Delivery and Regional Managers as required, including diary management, travel planning, arranging, supporting events, arranging and servicing meetings.
  • Maintain electronic filing system and file management using Teams.
  • Prepare Agendas, minute, produce and distribute accurate records of meetings e.g. team and departmental meetings on a regular basis.
  • Produce correspondence and reports from written documents and other sources, including research and analysis as appropriate.
  • Accurately input data into computerised departmental systems, databases and spreadsheets and process, retrieve, analyse and cleanse data as necessary.
  • Contribute to wider organisational change through support to project work.
  • Liaise with departmental staff, clients and external contacts as appropriate, sharing information as directed and ensuring procedures are properly followed.
  • Attend staff meetings, supervision and training as required, including participation in the annual performance development review scheme.
  • Administer transactional financial processes, including payment cards for ordering goods and service, expense and credit card returns, processing invoices and raising purchase orders via internal systems.
  • Undertake available training opportunities identified through appraisal and supervision and show a commitment to continuous development, to maximise your potential and ensure the efficient and effective delivery of the Trust's services.
  • Undertake any other tasks commensurate with the grading of the post, as required by the manager/supervisor, ensuring that all duties undertaken are done so in accordance with departmental policies, practices, procedures and standards.

Skills/Experience required:


  • Previous experience of setting up and maintaining office systems
  • Previous experience of using and setting up Databases
  • Experience of supervising staff and delegating tasks
  • Excellent IT skills using Microsoft Office, in particular Word, Excel and Outlook
  • Excellent communication skills, both oral and written
  • Excellent organisational skills and the ability to prioritise workload
  • Excellent numerical skills
  • Experience of working within an environment requiring confidentiality
  • Previous experience of marketing
  • Previous experience of recruiting staff
