We have a fantastic opportunity to work for Leicestershire Police as a Secretary within their DART (Domestic Abuse Resolution Team) at their Keyham Lane Police Station.

This position will be working Monday to Friday 8:30am to 4:30pm.


The purpose of this role is to provide a complete secretarial and administration service to The Domestic Abuse Resolution (DART) Team and carry out clerical duties as directed by Inspector and/or the management support officer.


CORE RESPONSIBILITIES

  • To maintain diary and fix appointments, deal with telephone enquiries, arrange meetings. To use relevant Organisational IT systems to manage calls in compliance with local, regional and national guidelines
  • To receive and screen all incoming calls and to record messages and other information as appropriate and in accordance with Force Standards
  • To liaise with individuals as required by the requirements of the post
  • To interrogate the caller to establish the severity and nature of the incident has not changed since the time of original reporting.
  • To liaise with other members of the force for calls requiring their ownership and attention, and to transfer telephone calls to appropriate extensions (including voice mail extensions)
  • To obtain such information as may be required by the Departmental Commander on a regular or 'ad hoc basis; extract such information from records and files or obtain as necessary from internal or external sources and prepare such information in appropriate format.
  • To maintain document filing system and retrieve files or documents as required.
  • To open and sort post and distribute accordingly.
  • To maintain pending files and records of matters to be brought forward and ensure that the Departmental Commander, or in his/her absence his/her deputy is aware of matter requiring their attention.
  • To attend meetings and take down the minutes of such meetings, transcribe draft minutes for approval and distribute copies of approved minutes.

ESSENTIAL CRITERIA

  • To be educated to GCSE Grade C/4 minimum, or equivalent,
  • Have the ability to develop good working relationships within the team and effective contact and involvement with outside agencies/external customers.
  • Ability to assess new information and reorganise to meet new demands whilst maintaining accuracy.
  • Ability for all written and spoken communication to be concise and well structured adapting the style of communication to meet the needs of the audience.
  • Provide a high level service to customers, whilst maintaining contact working out the issues and responding as necessary.
  • Have a positive willingness and aptitude to a changing working environment.
  • Provide a highquality service to individuals and the communities we serve.
  • Have a personal responsibility for selfdevelopment.
  • Ability to take personal responsibility for making things happen and achieving results. Whilst displaying motivation, commitment, perseverance, conscientiousness and a high degree of integrity.
  • The ability to use windows based computer systems, accurately record and retrieve data.

DESIRABLE CRITERIA

  • To hold a National Vocational Qualification Level 3 in a related topic i.e. Customer Service or equivalent.
  • Ability to clearly communicate decisions and the rationale behind them.
  • Experience of dealing with a wide cross section of the public.
