Job description:

We're looking for an Events & Programme Co-ordinator to join our team at Wimbledon. This role is based at The All England Lawn Tennis Club Community Tennis Centre.


What you will be doing:


_Community Tennis Centre_

  • Organising and undertaking Community Tennis Centre administration, particularly but not exclusively in relation to Events and Programming taking place at the Community Tennis Centre
  • Providing excellent customer service; welcoming players and visitors.
  • Work with the team to ensure that the Community Tennis Centre is staffed and supervised therefore providing back up to the DM rota and assisting with AELTC presence.

_Events_

  • Working with the General Manager, Operations Manager, and other members of the team to deliver the increasing number of events taking place the Centre.
  • Responsibility for coordinating the Centre diary, sending out booking forms and T&Cs, reserving facilities, engaging internal stakeholder support, creation of arrangement schedules and assisting with onsite delivery
  • Tournaments
  • Community Events (tennis related or nontennis related)
  • Matches
  • Other stakeholder events
  • Working closely and collaboratively with Food and Drink to provide seamless delivery and maximise revenue potential.

_Programming_

  • Working closely with the Community Head Coach and WJTI Manager to deliver our programming, both adult and junior. End to end involvement from planning and enrolment to assisting with enquiries, problem solving and monitoring attendance.
  • Planning, administering, and supervising the activity associated with the new spaces coming online at the completion of the Clubhouse and additional spaces:
  • Football bookings on grass pitches
  • Flexible Studio
  • BBG training room
  • Courtyard use

_Systems_

  • Using IT systems: including Clubspark booking system, CRM and Microsoft Office suite.

What part your role will play in build-up and during The Championships:

  • In 2024 the Community Tennis Centre will be an official practice venue for The Championships. As well as supporting the same activity that we have experienced in prior years the Centre will see an increase in activity and organisation during this grass court period.
  • You will coordinate pro player practice on the grass courts during the build up. This role will require strong internal and external stakeholder engagement liaising with our AELTC Professional Tennis Team, LTA Tournament Directors and Referees and LTA Court supervisors.
  • Ensuring both grass courts and indoor back up facilities are defined and reserved when necessary.

About You:


  • Strong interpersonal skills able to build and maintain effective internal and external working relationships and communicate effectively.
  • Experience of both working independently and part of a team.
  • Proactive, organised, solution focused approach with strong attention to detail and ability to meet deadlines with a positive and flexible approach.
  • Proven skills and experience relating to CRM and management of membership databases, project management and analytical skills.
  • Excellent working knowledge of Microsoft Office Suite to Intermediate level.
  • Experience of working in a sports centre or tennis facility and, ideally, an interest and knowledge of tennis.

  • The job holder will be expected to work the hours and working patterns required by the role to fulfil the duties and meet the requirements of the position.
  • Yearround the role will include regular evening and weekend work and you may be required to work extended hours/days before and during The Championships (at least a 12 hour day).
  • Yearround there is a requirement to support the Duty Management rota and team.
  • Requirement to comply with health and safety policies and procedures and the Club's Child Protection Policy and Guidelines.
