Description
To provide general secretarial support to the Practice Management, Doctors, and other Clinicians for Ansdell Medical Centre.

This position is for 27.5 hours per week Monday - Friday, 5.5 hours per day with flexibility to cover additional hours, in case of absence of other team members.

We are seeking an individual with excellent organisational skills and experience in working as a secretary.

Applicants should be able to work on their own initiative and as part of a team, have good word processing skills, accurate audio typing, be proficient in the use of Microsoft Office, be aware of the need for patient confidentiality and have excellent communication skills both written and verbal.

Experience in Medical Terminology and referrals pathways is desirable.


Primary Responsibilities
The following are the core responsibilities of the post.

There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Typing letters, reports and associated documentation as required

b. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

c. Manage all enquires in an effective manner

d. Maintain an accurate referrals database

e. Action all incoming faxes

f. Process calling letters as requested

g. Scanning of patient related documentation and attaching scanned documents to patient's healthcare records

h. Input data into the patient's healthcare records as necessary

i. Process referrals using the electronic referral system (ERS)

j. Read code data on EMIS

k. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

l. Manage all administrative queries as necessary

m. Carry out system searches as requested

n. Maintain a clean, tidy, effective working area at all times

o. Support all clinical staff with general administrative tasks as requested


Secondary Responsibilities
In addition to the primary responsibilities, the post holder may be requested to:

  • Making telephone appointments occasionally
  • Assist on reception (when short staffed)
  • Partake in audits searches as requested
  • Any other duties as requested by the Practice Management team.

Job Types:
Part-time, Permanent

Part-time hours: 27.5 per week


Salary:
£10.50-£11.00 per hour
