Meet My Baby is seeking a proactive and diligent individual (who is willing to start work immediately) with customer service skills to join our team as a Receptionist


About the Receptionist Position
The Receptionist will support the Sonographer and ensure that patients are well taken care of from when they arrive the premises to their onward departure

  • A friendly and compassionate person who possesses the ability to relate easily with others
  • A person who can juggle several assigned tasks to ensure the smooth running of the facility

Key Responsibilities:


  • Builds rapport and a strong relationship with the customers and their families ensuring that their experience is smooth, enjoyable, informative and relaxing.
  • Supports the Sonographer throughout the scan process allowing them to concentrate on the clinical aspects of the scan
  • Works in close partnership with the sonographer and a small team of staff ensuring that the customer receives the correct information in a relaxed, dignified, nonthreatening and informative way
  • Deals with customers with compassion and sympathy as the primary objective
  • Ensures that the customer is helped through the process of communicating with the sonographer
  • Ensures that relevant paperwork is completed thoroughly
  • Cleans the clinic at the end of period and to generally ensure that the clinic is spotless at all times
  • Handles basic administrative tasks to a good standard.
  • Provides the Vital Link Between the Sonographer completing the ultrasound scans and the family ensuring that from the moment the family arrives, their experience is special.
  • Observes the room and connects with families to make all of our customers feel special
  • Supports the Sonographer throughout the scan process allowing them to focus on technical aspects of the scan
  • Assists the Sonographer in the smooth delivery of referring the expectant mother to the correct services.
  • Enters accurate patient and exam data into the system.
  • Manages Ultrasound lists of each day
  • Prepares the imaging suites ahead of test
  • Chaperons in clinics as needed
  • Communicates positively and tactfully with patients, their relatives, carers and visitors, showing compassion and empathy
  • Offers advice to patients, demonstrating a good understanding of the scanning process
  • Ensures that patients are comfortable and at ease during the imaging process.
  • Enters orders and provides general information to customers. Participates in the resolution of customer problems or collects necessary data and follows through to appropriate person for problem resolution.
  • Greets patients and obtains pertinent patient demographic/insurance information for registration to process orders for patient exams.
  • Answers telephone and gives information to callers or routes call to appropriate person
  • Schedules appointments with patients for scans
  • Confirms scheduled patients for next day.
  • Takes on other duties and responsibilities within the clinic as required,

Requirements:


  • Education/ Experience_
  • Minimum of 1 years' experience working in customer service.
  • Prior experience workingin a prenatal facility as a Receptionist or customer service person is a plus

Skills and Competencies

  • Excellent customer service skills
  • Basic understanding of Ultrasound procedures
  • Excellent Communication skills (Written and Verbal)
  • Strong interpersonal and patient focused approach skills
  • Good Organisation skills
  • Ability to maintain high standards of cleanliness
  • Personable and compassionate attitude
  • Must have computer skills and dexterity required for data entry and retrieval of patient information.
  • Competent in use of IT equipment
  • Passion for providing excellent patient care, going above and beyond to help others
  • Must be able to multitask
